Job summary

Universal Music Canada is seeking a Payroll Operations Specialist to lead end-to-end payroll processes across Ontario, British Columbia, Alberta, and Quebec. The role supports PIC and People operations, ensuring accuracy and compliance with payroll legislation and tax rules.

You will work with Workday and ADP Workforce Now, manage data integrity, and contribute to continuous process improvements while delivering excellent employee service.

Qualifications

  • 5-7 years of Canadian payroll experience and multi-province payroll knowledge (ON, BC, AB, QC).
  • Strong knowledge of Canadian payroll legislation, tax and regulatory requirements.
  • Experience with Workday and ADP Workforce Now payroll systems (required).
  • Experience administering benefits and pension plans.
  • SOX compliance and internal controls familiarity.

Responsibilities

  • Manage end-to-end payroll processing across multiple provinces with accuracy and timeliness.
  • Ensure compliance with federal and provincial payroll legislation and tax requirements.
  • Support year-end processing including T4s and RL-1s and related filings.
  • Reconcile payroll reports to general ledger and prepare payroll journal entries.
  • Validate data integrity across Workday and ADP, supporting system updates and improvements.
  • Respond to payroll inquiries and provide guidance to employees and stakeholders.
  • Support audits with required payroll data and documentation.

Payroll & PIC Operations Specialist - Part Time

We are looking for a detail-oriented and collaborative payroll professional with a passion for delivering exceptional employee experience to join our People, Inclusion & Culture (PIC) team. The Payroll & PIC Operations Specialist will manage end-to-end payroll operations while supporting people processes across multiple provinces, ensuring accuracy, compliance, and operational excellence. The role will play a key role in enhancing payroll systems, supporting employees, and driving continuous improvement by demonstrating accountability, precision, collaboration, and a commitment to service excellence.

How You'll Lead:
Payroll Operations
  • Manage end-to-end payroll processing across Ontario, British Columbia, Alberta, and Quebec using Workday and ADP Workforce Now, ensuring accuracy, completeness, and timeliness
  • Process and validate hire to retire payroll data including earnings, deductions, bonuses, commissions, and retroactive adjustments
  • Execute payroll runs and ensure appropriate approvals and controls are in place
  • Investigate and resolve payroll discrepancies in a timely manner
Compliance & Reporting
  • Ensure compliance with federal and provincial payroll legislation, including CRA and Revenu Québec requirements
  • Prepare and remit payroll deductions including CPP, EI, income tax, QPP, QPIP, and CNESST
  • Support year-end processing including T4s, RL-1s, and related filings
  • Reconcile payroll reports to general ledger outputs and prepare payroll journal entries
  • Maintain documentation and processes in alignment with SOX (Sarbanes-Oxley) compliance and internal controls
  • Responsible for the payroll taxation, reporting, and compliance of employee equity compensation programs, including stock options, Restricted Stock Units (RSUs), Performance Share Units (PSUs), and other share-based awards. Ensures accurate withholding, payroll processing, tax reporting, and regulatory compliance across applicable jurisdictions while partnering with the Stock Plan Administrator
  • Support internal and external audits by providing required payroll data and documentation
Benefits & Pension Administration
  • Administer employee benefits and pension programs in collaborationwith the team
  • Coordinate with third-party providers to ensure accurate deductions and employer contributions
  • Reconcile benefits and pension invoices and maintain accurate records
  • Support employee inquiries related to payroll
People Operations & Systems Support
  • Validate data integrity across Workday and ADP, ensuring accurate employee and payroll records
  • support employee lifecycle transactions and system updates
  • Run and analyze payroll and HR reports as required
  • Identify opportunities for process improvements and automation across payroll and systems
  • Effectively and responsibly use approved AI technologies to enhance productivity, improve decision-making, and support business objectives. Applies critical thinking to validate AI-generated outputs, protects confidential information, complies with organizational AI governance and privacy requirements, and continuously develops knowledge of emerging AI capabilities relevant to the role.
  • Contribute to documentation, testing, and continuous improvement initiatives
Employee Support
  • Respond to payroll-related inquiries with a strong focus on the employee experience
  • Provide guidance to employees and internal stakeholders on payroll processes and policies
Other duties and projects as assigned.
What You Bring:
  • 5 - 7 years of Canadian payroll experience, including multi-province payroll (ON, BC, AB, QC required)
  • Proven experience managing full-cycle payroll processing
  • Hands-on experience with Workday and ADP Workforce Now payroll systems (required)
  • Strong knowledge of Canadian payroll legislation, tax and regulatory requirements
  • Experience administering benefits and pension plans
  • Knowledge of SOX compliance and internal controls
  • Exceptional attention to detail and accuracy
  • Strong analytical and problem-solving capabilitiesHigh level of discretion handling confidential information
  • Ability to manage multiple priorities in a, deadline-driven environment

Salary Range:

$35.00 - $42.00/hour
