Basic Purpose of Position:
The Payroll, Pension & Benefits Coordinator (PPB) Team serves as the primary contact for employees regarding payroll, pension, and benefits services. Under the supervision of the Payroll, Pensions and Benefits Services Manager, PPB Coordinators ensure the accuracy of employee data across all payroll, pension, and benefits transactions. They are responsible for entering master file changes, payroll transactions, and ensuring employees are enrolled in benefits and pension plans upon eligibility. They also liaise between employees and plan providers and play a key role in managing Leave of Absence (LOA) processes, ensuring benefit and pension continuation during employee leaves.
Job Description:
Customer Service
- Provide guidance and advice to employees on payroll, pension, and benefits, using excellent interpersonal skills and knowledge of union groups, Collective Agreements, and company policies.
- Determine employee benefits eligibility, coverages, effective dates, and set up payroll premium deductions according to union contracts and benefit policies.
- Act as an intermediary between employees and providers like Canada Life and Sun Life, as well as third-party payroll processors.
- Ensure all payroll, pension, and benefits documents, booklets, and brochures are accurate and current.
- Conduct benefits and pension orientation sessions for new employees, providing an overview of plan-specific benefits.
Data Input and Processing
- Process initial new hire payroll documents, ensuring all information is correctly entered into UKG; follow up as needed. Create and file new hire files.
- Update employee earnings and deductions based on payroll checklists and specific events.
- Maintain current procedures and checklists for event processing.
- Process benefit enrollment forms and coordinate required paperwork with internal teams or third parties.
- Enter and update employee data related to payroll, pensions, and benefits, including status changes and rehires.
- Audit entries for accuracy and review payroll reports to ensure correctness.
- Handle payroll adjustments, refunds, and premium collections as appropriate.
- Update beneficiary and dependent information; send pension and RRSP forms to Sun Life if applicable.
- Manage correspondence with insurance carriers regarding waiver of premium entitlements.
- Conduct audits for returning employees to ensure premium payments are current.
- Review termination notices, calculate final pay, and manage continuation of pay and benefits for involuntary separations or retirees.
- Issue Records of Employment (ROEs) for terminating employees.
- Process letters and transactions for employees on leave, including direct debits.
- Collaborate with reporting and control teams to investigate and correct variances.
Issuance of Letters & Correspondence
- Prepare and maintain benefit and pension continuation letters, election forms, and banking information.
- Send termination of benefits letters if no response is received to continuation letters and deactivate benefits for declining employees.
- Issue employment termination letters and confirm eligible dependents.
- Provide premium payment amounts for income tax purposes.
- Process direct debit and cheque payments for employees on leave.
- Enter benefit continuation data into UltiPro monthly and pension data for pilot groups.
- Cross-reference benefit deduction files and reports, forwarding for pension approval.
- Perform other related duties as assigned, adhering to established policies and ensuring safety for all.
Qualifications:
- Payroll Compliance Practitioner (PCP) designation is preferred.
- Certified Employee Benefits Specialist (CEBS) designation is an asset.
- Experience in processing payroll and benefits.
- Strong attention to detail and multitasking skills under strict deadlines.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Excellent interpersonal skills.
- Bilingualism is an asset.
