Job summary

The City of Cambridge is seeking a Payroll Clerk to join our HR payroll team. Reporting to the Manager of Human Resources – Payroll & Benefits, you will process and balance weekly and biweekly payrolls, verify time and attendance, and ensure timely payments to staff.

You will audit timesheets, respond to staff inquiries, handle terminations and retroactive pays, and support other payroll and benefits tasks as needed.

Qualifications

  • Clerical payroll/human resources/ accounting experience required.
  • Proficient in MS Office; able to handle spreadsheets and word processing.
  • Strong discretion with confidential information.
  • Knowledge of payroll legislation and collective agreements an asset.

Responsibilities

  • Process and balance weekly and biweekly payrolls and ensure timely payments.
  • Audit time entries and leave requests; correct discrepancies.
  • Answer staff inquiries about policies, attendance, or entitlements.
  • Compute retroactive pays from position or rate changes.
  • Prepare EI records of employment for terminations, etc.
  • Conduct payroll reconciliations and support pension/benefits tasks.

Job Profile

Reporting to the Manager of Human Resources – Payroll & Benefits; this position supports operations and staff at alllevels; calculates, co-ordinates and processes employee information resulting from promotions, demotions, new hires,terminations, retirements, transfers, leaves of absences etc., ensuring compliance with Corporate guidelines, collectiveagreements and government legislation.

What you will be doing
  • Responsible for processing and balancing weekly and biweekly payrolls. Sends the payment files to the bank ensuring staff are paid within the required deadline.
  • Audits information coming in from My Time Sheet entries and My Leave requests; follows up on discrepancies, making adjustments when required.
  • Within corporate guidelines and collective agreements, supporting staff regarding inquiries about policies, attendance or entitlements.
  • Calculates, verifies and processes individual retroactive pays resulting from position or rate changes.
  • Completes, verifies and issues Employment Insurance records of employment on employee termination, layoff, leaves and/or retirements.
  • Runs periodic audits on OMERS, Benefits, Dues, etc. Verifies attendance/absences that have been processed and works with staff to make corrections if necessary and educates on proper absence codes to be used.
  • Provides support to staff in other departments who key time into the payroll module.
  • Back-up support for the Payroll Coordinator during vacation periods.
  • Assist other areas of Payroll, benefits, pension when required at peak times
  • Perform payroll account reconciliations as required.
Education

Post-secondary education, ideally in Accounting and/or Payroll Administration. Certified Payroll Compliance Professional (PCP - National Payroll Institute).

Experience and Knowledge

A minimum of two (2) year of related work experience along with the knowledge and skills related to:

  • Clerical experience in payroll, human resources, or accounting
  • Intermediate computer and keyboarding skills (Including spreadsheets, word processing, and HR / payroll applications)
  • Advanced computer literacy using MS Office applications.
  • Ability to exercise appropriate judgement and discretion in dealing with confidential information or material.
  • Experience with SAP SuccessFactors or similar is considered an asset.

Proof of your current and valid certificate(s) and/or educational qualifications.

Worker Health and Safety Awareness Training certificate from the Ministry of Labour. (may be obtained post offer)

Your compensation

This position is located in Band Level 2 of the Non-Union Salary Scale and has an annual salary range of $66,171- $80,689. We offer a comprehensive benefit package and are an Ontario Municipal Employees Retirement System (OMERS) employer.

Hours of work

Monday to Friday, 8:30 a.m. to 4:30 p.m. (35 hours per week).
