About the role

The Payroll & Benefits Coordinator plays an important role in ensuring employees are paid accurately, on time, and receive the benefits and support they're entitled to. This is a great opportunity for someone who enjoys working with numbers, analyzing data, solving payroll-related issues, and making a direct impact on the employee’s experience. In this role, you'll collaborate with employees, leaders, and internal partners to provide trusted payroll and benefits support in a dynamic and fast-paced environment where accuracy and attention to detail matters.

What you’ll do

Reporting to the Manager, Payroll & HR Operations, you will:

  • Process and verify payroll information, correcting payroll errors following weekly timecard uploads and working with employees and managers to resolve discrepancies.

  • Collect, review, and upload weekly and amended timecards for payroll processing.

  • Perform payroll-related analysis and reconciliations, including employee pay, vacation and sick leave balances, pension reconciliations, Group Life balancing, and regulatory reporting requirements.

  • Calculate retroactive payments, pay adjustments, salary advances, garnishments, overpayments, and wage increases.

  • Complete financial coding, tracking, and payment processing related to payroll and regulatory obligations.

  • Conduct research, identify solutions to payroll and benefits issues, and support continuous process improvement initiatives.

  • Prepare regular and ad hoc payroll reports, analyze findings, and provide information to support operational, financial, and business needs.

  • Ensure payroll and benefits activities are completed in accordance with applicable legislation, collective agreements, policies, and procedures.

  • Handle sensitive and confidential employee information with professionalism, discretion, and integrity.

  • Deliver consistent, accurate, and detail-oriented work while maintaining a strong service focus and commitment to organizational goals.

What you’ll bring to the team
  • National Payroll Institute certification (PCP designation) or an equivalent combination of education and experience.

  • Minimum of 2 years of experience processing payroll in a complex organizational environment.

  • Knowledge of payroll legislation, statutory deductions, taxable benefits, and year-end payroll processes.

  • Experience working within a unionized environment and interpreting collective agreement provisions that impact payroll and benefits administration.

  • Experience administering employee benefits, pension plans, and leave programs.

  • Experience using payroll and HRIS systems to process payroll transactions, maintain employee records, audit data, and perform reconciliations.

  • Experience performing payroll reconciliations, identifying discrepancies, and ensuring financial and payroll data integrity.

  • Advanced proficiency in Microsoft Excel, including formulas, lookups, data validation, reconciliation, analysis, and reporting.

  • Experience maintaining accurate employee records and ensuring compliance with payroll policies, procedures, and legislative requirements.

Competencies
  • Communication: Ability to clearly and concisely prepare correspondence, reports, and documentation to request, provide, and explain information to a variety of audiences.

  • Problem-Solving: Ability to identify and assess issues, evaluate available options, and implement appropriate solutions in accordance with relevant policies, procedures, and collective agreements.

  • Interpersonal: Ability to listen, assess, clarify concerns, and respond professionally and tactfully to employees, managers, vendors, and stakeholders who may be frustrated, confused, or upset.

  • Teamwork & Independence: Ability to work independently while also collaborating effectively with others to achieve shared goals and maintain positive working relationships.

  • Organizational: Ability to effectively prioritize and manage a high volume of work, adapt to interruptions and changing priorities, maintain accurate records, and efficiently retrieve information while consistently meeting competing deadlines.
