Position Summary

Temporary Part-Time Support Staff, replacement position (Immediate need to August 29, 2025, with the possibility of extension)

The Academic Upgrading department is seeking a detail-oriented and client-focused Support Services Officer to provide administrative support. The successful candidate will perform a variety of semi-routine tasks to support student services, data management, and office operations

Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement, Monday to Thursday, 8:30 a.m. to 3:00 p.m., with three days on-site at the Brantford campus located at 50 Wellington Street. The Support Services Officer will be scheduled for 24 hours per week.

Responsibilities

Administrative support

  • Prepare and maintain assessment packages
  • Submit purchase and print orders; track and organize supplies within budget
  • Maintain accurate and up-to-date student files in accordance with Ministry guidelines
  • Perform general office duties including filing, copying, and inventory management

Data entry and system management

  • Register students and update records in the Employment Ontario Information System – Case Management System (EOIS-CaMS)
  • Enter and verify data, including milestones, learning activities, referrals, and follow-ups
  • Ensure consistency between digital records and physical student files
  • Close student files and notify central staff of program exits
  • Track and update attendance records
  • Respond to and document student absences via phone and email
  • Identify and report trends in student inquiries and attendance

Customer service and student support

  • Serve as the first point of contact for phone, email, and in-person inquiries
  • Provide information about assessments, registration, and program processes
  • Assist students with Training Support Allowance (TSA) forms and follow-up communications
  • Support orientation for new students and assist with Ministry-required documentation
Qualifications
  • One-year certificate in office administration is required
  • Minimum two years of related practical experience
  • Proficiency in Microsoft Office Suite
  • Strong written and verbal communication skills
  • Excellent customer service and interpersonal skills
  • Familiarity with EOIS-CaMS is considered an asset
  • Knowledge of general office practices, including purchasing, filing, and inventory control
