Job summary

Riverstone Retirement Communities is hiring for the Willowbend Retirement Community as a part-time Receptionist at $18.92 per hour, about 47 hours bi-weekly. The role provides front-desk responsibilities, warm welcomes, telephone contact, secretarial support to the General Manager and managers, and coordination of appointments and resident records.

Qualifications include Grade 12, 3+ years’ related experience, secretarial skills, MS Office, and English/French bilingualism is an asset; Riverstone

  • Grade 12 minimum.
  • Minimum of three years’ related experience in an office/healthcare setting preferred.
  • Secretarial skills and experience with office procedures required.
  • Knowledge of MS Office and data entry is advantageous.
  • Bilingualism in French and English is an asset.

Responsibilities

  • Provide full secretarial support for the General Manager and managers.
  • Face-to-face reception and telephone contact with visitors; direct to appropriate people.
  • Maintain daily records and resident-related lists and reservations.
  • Book appointments and handle maintenance or dining reservations.
  • Observe residents' comings and goings and assist as needed.
  • Process payments from residents or family members.
  • Sort mail and present a positive image of the residence.

QUALIFICATIONS
Education
  • Grade 12 minimum
Background
  • Minimum of three years’ related experience, preferably in the health care industry
  • Secretarial skills and experience with office procedures required;
  • Knowledge of business equipment and computer applications, such as MS Office, data entry, etc.
  • Bilingualism in French and English an asset
Personal Requirements
  • Work as part of a team
  • Capable of adapting to different situations and change
  • Patience, tolerance and politeness when responding to residents, visitors, suppliers, etc.
FUNCTIONS
  • Provide full secretarial support for the General Manager and other department managers;
  • Provide initial warm welcoming reception and telephone contact with visitors. Provide direction to visitors and callers and/or notify appropriate people as required;
  • Maintain daily records such as Resident Evacuation list, assignment of parking spaces, resident checklist, resident telephone list, employee contact list, guest suite reservations, etc.;
  • Book hairdressing appointments, esthetician appointments, take maintenance requests, dining room reservations, etc.;
  • Observe coming and goings of residents from facility;
  • Handle payments from residents or family members;
  • Sort incoming mail for distribution to residents and all departments;
  • Present a positive image of the residence to the public
