Job summary

Minto is seeking a friendly Concierge in Ottawa to welcome guests, manage front desk duties, and coordinate resident services at 99 Fifth Ave and 185 Lyon Street.

You’ll handle guest arrivals, assist with packages and parking, book meeting rooms, circulate notices, and respond promptly to resident requests while upholding Minto Customer Service Standards.

Qualifications

  • High School diploma or equivalent preferred.
  • 1–2 years of work experience in hospitality or front desk roles.
  • Strong communication and customer service skills.
  • Ability to multi-task and manage competing priorities.
  • Proficiency with basic computer software; knowledge of Yardi is an asset.

Responsibilities

  • Assist with resident services, respond to inquiries promptly.
  • Coordinate access for staff and contractors; manage notices.
  • Use Yardi ERP system to record information and perform tasks.
  • Prepare resident communications for events, repairs, and management updates.
  • Greet guests and maintain lobby areas.
  • Schedule room bookings and manage lobby coffee station.
  • Assist with luggage, parcels, and parking passes.
  • Monitor premises for safety and security; participate in emergency procedures.
  • Ensure front desk area remains neat and organized.
  • Collaborate with management to meet customer service standards.
  • Support team goals and company strategy.

Here’s How You’ll Contribute
  • Analysis of potential AGI filings using financial modelling that incorporates major repair forecasts.
  • Preparing packages for AGI submission to maintain resident database, which includes, processing changes to residents;
  • Ensure scheduled maintenance plans for property and equipment are assigned to personnel so that they can be completed on a timely basis, reviewing concerns / issues raised during the performance of these maintenance plans with management to pro-actively address concerns / issues thereby minimizing unplanned downtime;
  • Perform all facets of the job in accordance with the legislation applicable to the jurisdiction, including: Health and Safety standards, WHMIS, AODA, PIPEDA and Human Rights;
  • Coordinate access for Minto staff and contractors for occupied and vacant spaces as well as common areas; ensuring proper notice is given as required;
  • Use of the ERP system, Yardi, to record information and perform job activities;
  • Supports team goals, objectives, operations and strategy for properties outlined by management;
  • Responds to all resident related issues promptly and courteously in a professional manner, informing management when applicable and if follow-up is required;
  • Ensures that proper notice is given in advance of entering occupied suites and/or that the resident has authorized entry in advance;
  • Prepare mass and individual resident communication, for example, upcoming events, repairs, changes to management, etc.;
  • Greets, acknowledge and welcome arriving and departing guests;
  • Maintains up to date and accurate information on current events, local services and attractions;
  • Books meeting rooms when required;
  • Maintains coffee station in lobby;
  • Assign parking passes and administration of this;
  • Assists guests with luggage, parcels etc.;
  • Accepts laundry/dry cleaning from guest and ensures it gets processed;
  • Monitors premises to ensure building is safe and secure;
  • Performs and carries out emergency procedures as required;
  • Ensures front desk/work area is neat and tidy at all times;
  • Reports complaints, service breakdowns guest comments and suggestions;
  • Ensures Minto Customer Service Standards are implemented at all times;
  • Other duties within the scope, spirit and purpose of the job, as requested by management.

Education:

High School is an asset.

Experience:

A minimum of one to two (1-2) years of work experience is required.

Hiring pay range:

$21.63 per hour
