  • Track cost avoidance, leakage risks, and transition status; document issues.
  • Standardize onboarding/offboarding processes and prepare tracking reports.
  • Escalate data inconsistencies to appropriate teams; complete other projects.

Compensation: CA$55,000 - CA$65,000 / year


Description

Reporting to the Director, Services and Operational Support (SOS), the Parking Data Coordinator (PDC) is responsible for coordinating the onboarding and offboarding of parking locations across our network. The PDC plays a critical role in ensuring services, systems, contracts, and vendor relationships are established, modified, or terminated accurately and on time.

The role is accountable for identifying, preventing, and reporting avoidable costs associated with location transitions by validating that services and recurring charges are correctly implemented or discontinued, tracking and reporting cost avoidance and financial leakage risks, and supporting audits and verification activities. The PDC also drives process standardization, operational reporting, and continuous improvement initiatives to improve efficiency, consistency, and scalability across the organization.

Success in this role requires strong attention to detail, investigative and problem-solving skills, sound judgment, and the ability to coordinate complex cross-functional workflows across multiple stakeholders, vendors, and operating companies.


Key Responsibilities
  • Coordinate onboarding and offboarding of parking locations across all platforms and operating companies, ensuring system entries are complete, accurate, and timely.
  • Initiate, track and resolve work orders/tickets/forms via approved workflow tools, including SharePoint and Jira.
  • Liaise with vendors and service providers to coordinate service setup, modifications, and terminations, ensuring activities are completed accurately and on schedule.
  • Coordinate with internal stakeholders to ensure onboarding and offboarding activities are completed in accordance with established timelines and service level expectations, including booking and facilitating recurring meetings with department leaders and key stakeholders to review progress, identify risks, and drive resolution of outstanding items.
  • Coordinate the creation, modification, and removal of parking lot attributes, including pricing, contact information, amenities, operational details, and other location-related data required to support onboarding and offboarding activities across supported systems.
  • Perform audits and validation activities to ensure services, systems, contracts, recurring charges, and vendor billing are correctly established, updated, or terminated during location transitions.
  • Review reports, invoices, GL entries, billing records, and related data to identify discrepancies, ongoing post-termination charges, and opportunities to prevent avoidable costs.
  • Track, document, and report cost avoidance, financial leakage risks, transition status, and outstanding issues.
  • Document, maintain, and standardize onboarding and offboarding processes; prepare and maintain onboarding/offboarding tracking and reporting; prepare and present Monthly Business Reviews (MBRs); and contribute to continuous improvement initiatives that improve consistency, efficiency, and operational controls.
  • Prioritize tasks effectively to meet service level agreements and internal deadlines.
  • Identify and escalaj data inconsistencies or system issues to the appropriate teams.
  • Complete other projects as assigned.

Skills, Knowledge and Expertise
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities, deadlines, and stakeholders in a high-volume environment.
  • Strong attention to detail with the ability to review, validate, and reconcile data, reports, invoices, and records accurately.
  • Experience collaborating with cross-functional teams, external vendors, and leaders across multiple levels of the organization.
  • Excellent communication, stakeholder management, and relationship-building skills, with the ability to influence outcomes, maintain productive working relationships across departments, vendors, and operating companies, and drive issues to resolution through persistent follow-up.
  • Comfortable navigating ambiguity, exercising sound judgment, and proactively identifying and resolving issues in a complex operational environment.
  • Proficiency in data systems, reporting tools, and workflow platforms (e.g., Jira, SharePoint, MS Excel), with the ability to maintain accurate records, track complex workflows, and prepare operational reporting. Tech-savvy and quick to learn new systems and tools.
  • Ability to work independently with minimal supervision, manage competing priorities, and maintain accountability for deadlines, accuracy, and follow-through.
  • Strong investigative, reporting, and problem-solving skills, including the ability to identify process gaps, validate information, recognize cost risks, prepare accurate operational reporting and presentations, communicate findings to stakeholders and leadership, and recommend practical improvements.
  • Ability to conduct audits, verify completion of tasks, service setups, service terminations, and billing changes, and follow through on discrepancies to resolution.
  • Familiarity with parking operations or infrastructure services is a plus.
  • Demonstrated ability to manage sensitive data with discretion and integrity.
  • 2+ years of experience in operations coordination, data management, or related field.
  • Experience with the following systems is an asset: Altas Jira, Salesforce, Smartsheet, Google Business Profiles, Adobe, SharePoint Custom Lists, Confluence, Coupa, E-Xact Payment Processing, GL
