Alopex Couriers is seeking a detail-oriented and organized professional to coordinate the daily operations of our courier facility in Penticton and embody “The Alopex Way”. This exciting opportunity offers the chance to be an integral part of a fast-paced logistics team, ensuring the seamless delivery of services and operational excellence. Reporting directly to the Operations Manager, who is based off-site, the Operations Coordinator will act as a critical link between the on-ground team and upper management, ensuring the highest standards of performance and customer satisfaction.

The Operations Coordinator plays a pivotal role in ensuring efficient and smooth facility operations. This includes overseeing clerical tasks, managing parcel and vehicle logistics, and maintaining a well-organized workspace that supports the flow of daily activities. In addition, this role involves close coordination with drivers, monitoring performance, addressing discrepancies, and troubleshooting operational issues as they arise. Through proactive planning and execution, the Operations Coordinator will contribute significantly to maintaining operational efficiency and upholding the company’s service standards.

A successful candidate for this role will be someone with a proactive mindset and a hands-on approach to problem-solving. Strong communication skills are essential, as the role requires collaborating with diverse teams, handling inquiries from stakeholders, and relaying critical information to the Operations Manager. The ability to manage multiple priorities and meet tight deadlines in a dynamic environment is key to thriving in this position.

Responsibilities:

Daily Operational Tasks:

Execute the daily operational plan set in collaboration with the Operations
Manager.
  • Start the day by making sure that all tools and tech needed for the day are
    ready for use.
Review clerical tracker, Teams messages and emails for updates.
Organize and store debit papers (retain for one month).
Inspect vans for operational issues and update the drivers' board.
Organize the pickup cage and resolve discrepancies.
Address out-of-place parcels and ensure they are near the correct van for delivery.
Expedite same-day deliveries by addressing parcels on the clerical shelf.

Driver Coordination:

Communicate route assignments, updates and reminders of drivers upon arrival.
Ensure all drivers have departed on their routes and check for any "LIB" (left-in-building) parcels.
  • Oversee contractor performance and ensure adherence to safety and company standards.

Clerical and Documentation:

Process Cash on Delivery (COD) transactions and update the COD reconciliation sheet.
Complete tasks such as Return to Sender (RTS), Exception Resolution & Notifications (ERN), and Delivery Not Equal Delivery Address (DNEDs).

Daily Driver Duties:

Sort and load out for delivery packages for Penticton/Naramata routes.
Complete these routes including daily pickups in Naramata.
Ensure all clerical returns plus pickups are caged ready for collection by our 5-ton to Kelowna.

Vehicle and Supply Management:

Coordinate van maintenance and appointments (e.g., Kal Tire).
Monitor and report stock levels (e.g., door tags, wet bags, washer fluid, toilet paper, hand towels) and submit weekly supply list to the designated contact.

Additional Duties:

  • Occasionally cover courier routes as needed.
  • Safely lift and move parcels or other heavy objects when required.

Additional responsibilities may be assigned as needed to support the smooth operation of the facility.

Technical Skills and Education:
  • Proficiency in Word, Excel, Teams, and Outlook to create and manage documents, track data, and communicate effectively.
  • Experience using platforms like Samsara, Graphana, Ship Track, or equivalent systems for tracking and managing fleet operations.
Hands-on experience with tools and systems used for route planning, tracking deliveries, and managing logistics operations.
  • Ability to coordinate maintenance schedules, document repairs, and liaise with service providers to keep the fleet in optimal condition.
  • High school diploma or equivalent is required. Post-secondary education in logistics, business administration, or a related field is strongly preferred.
  • A valid certification in Basic First Aid to handle emergencies and ensure workplace safety, is preferred.
  • Prior experience in the courier or warehouse industry is ideal to understand operational workflows and industry-specific challenges.
  • Ability to quickly learn and operate new software and systems relevant to courier operations.
  • Strong skills in generating and presenting reports, analyzing data and communicating findings effectively to stakeholders.
  • Clean Driver's Abstract and Acceptable Criminal Background Check.

Job Type: Full-time

Compensation:

Hourly Rate of $21.00 per hour while being trained (approx. 4 weeks). After successful training, hourly rate of $23.00 per hour.
Eligible for enrollment to the Group Health Insurance after 3 months of employment.
