Qualifications

We’re looking for an organized, proactive, and solutions-focused Operations Coordinator to join our Yellowknife headquarters and help keep the equipment, vehicles, systems, and operational resources behind our services running safely and efficiently.

About The Role

This is a full-time, in-person role (37.5 hours/week) based at our Yellowknife headquarters near the airport.

Reporting to the Clinical Operations Managers, the Operations Coordinator provides administrative, equipment, vehicle, and operational support across our Clinical Support, Industrial, Ground Ambulance, and Air Ambulance business and support units.

You’ll work closely with Operations personnel and teams across AMS to coordinate activities, maintain accurate records, support equipment and fleet readiness, and help ensure the professional and effective delivery of operational services.

As a central point of support for operational assistance, you’ll be responsible for coordinating multiple priorities and helping ensure our teams have the equipment, vehicles, information, and resources they need.

What You'll Be Doing

No two days will look exactly the same. You’ll be coordinating multiple moving pieces and helping ensure our equipment, vehicles, records, and operational systems remain organized, maintained, and ready to support our teams.

Coordinating Medical & Non-Medical Equipment
  • Coordinate scheduled biomedical servicing, maintenance, and repairs for medical and non-medical equipment
  • Plan and schedule equipment repairs to maximize equipment availability and efficiency, control costs, and reduce unscheduled downtime
  • Arrange equipment servicing and complete authorized minor unscheduled maintenance when required
  • Organize, complete, and document scheduled equipment checks in accordance with established requirements
  • Monitor required daily and weekly equipment checks and ensure they are completed and properly logged
  • Maintain accurate medical equipment records, service documentation, and repair histories
  • Manage and coordinate the resolution of incident reports involving medical and non-medical equipment
  • Document findings, follow-up activities, and corrective actions related to equipment incidents
  • Work collaboratively with the Supply Services Team to order new medical and non-medical equipment
  • Plan and coordinate equipment transfers between AMS locations
  • Track newly ordered medical equipment from purchase through receipt and deployment
  • Support Clinical Support in identifying, coordinating, and fulfilling equipment requirements
  • Coordinate with IT on troubleshooting, repairs, and updates for operational computers and cellular phones
Keeping Our Fleet Moving
  • Coordinate vehicle maintenance and repairs to support the safe, reliable, and efficient operation of AMS vehicles
  • Plan and schedule preventative maintenance and repairs to maximize vehicle availability, control costs, and reduce unscheduled downtime
  • Coordinate seasonal vehicle preparation
  • Complete or coordinate vehicle checks to verify that vehicles are safe, clean, and operational
  • Arrange and follow up on corrective action when vehicle deficiencies are identified
  • Receive and review vehicle incident reports, coordinate required follow-up, document findings and corrective actions, and close reports in accordance with applicable processes
  • Manage vehicle registration renewals and insurance cards
  • Communicate vehicle maintenance activities, repairs, and operational concerns to the Clinical Operations Managers
Supporting Operations & Administration
  • Coordinate and communicate scheduled biomedical and maintenance activities for medical and non-medical equipment and vehicles
  • Maintain accurate and up-to-date databases used to track AMS assets, including medical equipment, non-medical equipment, and vehicles
  • Initiate Authorization for Expenditure (AFE) requests when purchasing medical or non-medical equipment and forward requests for approval
  • Receive and review equipment and vehicle incident reports and coordinate required follow-up
  • Document findings and corrective actions for equipment and vehicle incident reports and ensure reports are closed within the applicable process
  • Ensure medical equipment and vehicle service records are electronically filed and maintained
  • Prepare and submit accurate operational reports within established timelines and in accordance with organizational requirements
  • Maintain clear, accurate, and organized operational documentation and records
  • Coordinate with Operations personnel and other departments to support day-to-day operational requirements

What You Bring
  • A diploma or certificate in Business Administration, Operations, Logistics, Asset Management, or a related field is preferred
  • Relevant experience coordinating equipment, vehicles, maintenance, records, or operational services may be considered in place of formal education
  • Strong organizational and time management skills
  • Strong problem-solving skills and the ability to approach operational challenges calmly and effectively
  • Ability to triage competing demands, establish priorities, and set daily and weekly goals
  • Ability to develop and follow work plans
  • Strong written and verbal communication skills
  • Ability to work autonomously while contributing effectively within a team
  • Strong attention to detail and demonstrated proficiency in preparing and maintaining accurate operational documentation and records

  • Ability to maintain positive and professional working relationships with colleagues and other stakeholders
  • Ability and willingness to comply with applicable Operations policies, procedures, and program requirements
  • A valid Class 5 driver’s license with a clean and safe driving record
  • Experience in fleet coordination, equipment or asset management, logistics, healthcare, emergency services, or other operational environments is an asset.
What To Expect

This isn’t a role where you’ll spend every day doing the same thing. You may be coordinating a vehicle repair one moment, following up on biomedical equipment servicing the next, completing an equipment check, updating operational records, or working with another AMS team later in the day.

The role includes a mix of computer-based work and hands-on operational support. You should be comfortable:

Sitting and/or standing for prolonged periods

Using a computer for extended periods of time

Safely completing equipment and vehicle inspections in office, shop, warehouse, and outdoor environments

Safely lifting, carrying, pushing, or pulling items weighing up to 50 lbs.

Occasionally working outside regular business hours and being available to respond to urgent equipment or vehicle issues when required

Working in accordance with applicable AMS Operations policies, procedures, and program requirements
