Job summary

REIC Rentals is seeking an energetic Rental Shop Admin to keep our operations moving. You’ll manage rental assets, customer records, and paperwork while coordinating pickups, deliveries, and logistics across domestic and cross-border shipments.

You’ll collaborate with operations, fleet, and finance teams in a fast-paced environment, ensuring accurate billing, shipments, and top-notch customer service. A forklift cert is a nice-to-have perk.

Qualifications

• 3-5 yrs of admin, rental coordination or customer service preferred.
• Strong organizational skills and attention to detail.
• Clear written and spoken communication.

Responsibilities

• Be the master tracker: keep tabs on rental assets, customer info, fleet status, contracts, and paperwork.
• Coordinate pickups, deliveries, and logistics across domestic and cross-border shipments.
• Help keep billing and invoicing on point and ensure paperwork is complete.
• Partner with suppliers and set up purchase orders.
• Keep equipment visible in GeoForce (GPS for gear).
• Support warehouse operations: receiving, shipping, inventory.
• Occasionally assist with tagging vehicles, decals, or HSE safety tasks.
• Cross-train with teammates to keep the crew sharp.
• Deliver outstanding customer service and problem-solving.

If you're the type who loves juggling multiple projects, paying attention to details, solving puzzles, and being the go-to person everyone counts on? If this sounds appealing, Operations Coordinator, you'll be the heartbeat of the shop-keeping track of equipment, wrangling paperwork, and making sure every rental runs smoothly from pick-up to delivery. You'll partner with awesome teammates across operations, fleet, and finance, and you'll get a front-row seat to the action in a fast-paced, high-energy environment. This isn't your average desk job-you'll play a key role in keeping projects moving, customers happy, and our fleet in tip-top shape.

What You'll Be Doing

• Be the master tracker: keep tabs on rental assets, customer info, fleet status, contracts, and paperwork.
• Coordinate pickups, deliveries, and logistics magic-from hotshot trucking to cross-border shipments.
• Help keep billing and invoicing on point (aka: making sure no paperwork goes missing!).
• Partner with suppliers and set up purchase orders-because the shop can't run without the right parts.
• Keep equipment visible in GeoForce (aka: GPS for our gear).
• Pitch in with warehouse operations-receiving, shipping, inventory, and all the moving pieces.
• Occasionally roll up your sleeves-tagging vehicles, applying decals, or helping with HSE safety support.
• Cross-train with teammates so the whole crew stays sharp.
• Deliver amazing customer service-because you're not just pushing paper, you're making experiences better.

What We're Looking For

• Customer focused AND safey minded operations or administrative professional (3-5 yrs of admin, rental coordination or customer service preferred).
• Tech-savvy with solid organizational skills.
• Clear communicator-both written and spoken.
• Problem solver who can juggle priorities without breaking a sweat.
• A people person who knows customer service is more than a smile-it's about solving problems.
• A valid driver's license (with a pretty clean record).

Special note: You'll sometimes be exposed to warehouse/shop environments-so be ready for a little variety (think PPE, ladders, dust, noise, and occasional weather exposure).
