Job summary

Providence Health Care is hiring a Canada-based OR Booking Clerk to join St. Paul’s Operating Room team. The role focuses on coordinating surgical bookings, managing the OR slate, and supporting patient admissions and clinic workflows.

Strong organization and communication are essential in a fast-paced healthcare setting. Responsibilities include scheduling procedures, maintaining waitlists, and providing general reception/clerical support across departments.

Qualifications

  • Completion of Grade 12.
  • Three years’ recent, related experience or an equivalent combination of education, training, and experience.
  • Ability to keyboard 40 wpm and to handle medical terminology.

Responsibilities

  • Coordinating and scheduling surgical procedures; reviewing booking information and maintaining waitlists.
  • Preparing and managing the Operating Room slate and distributing final schedule.
  • Scheduling appointments and supporting patient admissions in information systems.
  • Working with OR/clinical teams to support scheduling changes and bookings.
  • Maintaining surgical information, waitlists, and operational reports.
  • Providing reception and administrative support, including calls, visitors, filing, and correspondence.

Salary
The salary range for this position is CAD $31.19/Hr. - CAD $31.19/Hr.

The hours of work, including start and stop times, days off, work area and work site may be subject to change consistent with operations requirements and applicable provisions of the Collective Agreement and statutes. Testing may be required. A criminal record check may be required


Summary

Join St. Paul’s Operating Room team and play an important role in keeping surgical services organized and running smoothly. This role is a great fit for someone who is highly organized, comfortable working in a fast-paced healthcare environment, and enjoys coordinating behind the scenes to support patients and clinical teams.


As an O.R. Booking Clerk, you’ll be at the heart of surgical operations, responsible for:



  • Coordinating and scheduling surgical procedures, including reviewing booking information, identifying available booking options, entering patient information, and maintaining surgical waitlists.

  • Preparing and managing the Operating Room slate, including scheduling surgical cases, making revisions as needed, and completing and distributing the final slate to appropriate areas.

  • Scheduling appointments and supporting patient admissions by entering and updating information in patient information systems and ensuring required booking details are accurately captured.

  • Working closely with O.R. and clinical teams to support scheduling changes, resolve booking needs, and help keep surgical operations organized and running efficiently.

  • Maintaining surgical information and reports, including compiling and distributing operating room statistics, surgical waitlists, and other operational information.

  • Providing reception and administrative support, including answering calls, assisting visitors and hospital staff, maintaining files, typing correspondence and documents, ordering office supplies, and scanning and faxing materials.

Your Day to Day:



  • Schedules surgical procedures by reviewing physician booking requests, verifying patient/procedure information, following up on missing details, and entering bookings into scheduling systems.

  • Prepares and manages the Operating Room (OR) slate, assigning surgical cases based on available OR time, recovery-bed capacity, and scheduling requirements.

  • Reviews and adjusts surgical schedules by identifying conflicts or errors, filling cancellations/unused OR time, and confirming procedure codes, equipment needs, and final bookings.

  • Coordinates with physicians’ offices, OR/PAR staff, anesthetists, and Pre-Admission Clinic to confirm procedures, resolve discrepancies, and facilitate daily scheduling changes.

  • Schedules patient appointments and required testing, including booking, cancelling or adjusting appointments, arranging follow-ups, and providing patients with pre-appointment instructions.

  • Supports patient admission and chart preparation by collecting and entering patient information, obtaining required documentation/signatures, and ensuring charts and test results are complete.

  • Maintains surgical records, waitlists, statistics, and reports, including tracking OR utilization and preparing/distributing operational information.

  • Provides general administrative and clerical support, including reception, telephone/email inquiries, filing, correspondence, meeting coordination, office supplies, staff attendance communication, photocopying, faxing, and scanning.
