Job summary

Socket.dev is seeking an Office Manager for an established retirement community in Windsor, Ontario. The role provides clerical support, payroll assistance under the General Manager, and reception duties while upholding residents’ rights and community standards.

The ideal candidate has strong communication and computer skills, experience with seniors, and familiarity with relevant Ontario legislation. Competitive wages and benefits are offered, with a focus on compassionate service.

Qualifications

  • Excellent communication skills, verbal and written.
  • Proficient in Google Suites.
  • Experience dealing with seniors (2–5 years).
  • Skilled in conflict management techniques.
  • Familiar with Ontario legislation: Employment Standards Act, Workers’ Compensation Act, Public Health Act, Residential Tenancies Act, Retirement Homes Act, OHSA.
  • Proficient in Microsoft Office, financial systems and billing.
  • Ability to listen and empathize with others.
  • Vulnerable sector check within 6 months; TB test within 6 months or Chest X-ray within 1 year; two supervisory references.

Responsibilities

  • Reviews and processes monthly resident rent and service invoices.
  • Receives and processes payments from residents.
  • Assists with payroll processing under the General Manager.
  • Prepares financial, resident, and associate reports upon request.
  • Maintains resident and associate administrative files.
  • Promotes Residents’ Bill of Rights and Retirement Homes Act compliance.
  • Processes move-ins, discharges, and absences on forms.
  • Answers questions from residents and visitors.
  • Promotes the community’s vision, mission, and standards.
  • Processes new associates through payroll and benefits systems.
  • Responsible for reception: greeting guests, answering phones, maintaining visitor log.
  • All other tasks as assigned.

TheOffice Managerreports to the General Manager and is expected to provide courteous and efficient telephone, reception, and clerical support to all clients and assist with clerical duties in

the Home, including human resources and associate files.

Wage Rate

The starting annual salary is $50,000.


Vacancy

This is an existing vacancy.


Responsibilities:
  • Reviews and processes monthly Resident rent and service Invoices,

  • Receives and processes payments from Residents,

  • Assists with the processing of payroll under the direction of the General Manager

  • Prepares financial, Resident, and associate reports upon request,

  • Maintains Resident and associate administrative files,

  • Is aware of and respects and promotes the Residents’ Bill of Rights,

  • Adheres to the policies of the community and understands the requirements of the Retirement Homes Act,

  • Processes Resident move-ins, discharges, and temporary absences on appropriate forms and lists,

  • Answers questions from Residents and visitors,

  • Promotes the vision, mission, values, legislation, and standards of the community,

  • Processes new associates through the payroll and benefits systems,

  • Responsible for reception functions including receiving all guests, answering the phone, maintaining visitor log, etc.,

  • Any and all other tasks as assigned.

Qualifications:
  • Excellent communication skills, both verbal and written,
  • Excellent computer skills, including proficiency in Google Suites,

  • Experienced in dealing with seniors (2 – 5 years),

  • Skilled in conflict management techniques,

  • Is familiar with the provisions of the following legislation: Employment Standards Act, Workers’ Compensation Act, Public Health Act, Residential Tenancies Act, Retirement Homes Act, Occupational Health & Safety Act,

  • Proficient in Microsoft Office, financial systems and billing,

  • Ability to work from the heart and make others smile,

  • Ability to listen and respect others' points of view even if you disagree,

  • Clear vulnerable sector screening (w/ in last 6 months), recent TB test results (w/ in last 6 months) or Chest X-ray (w/ in last 1 yr), and two supervisory references are required.
