About Our Client

Our client is a well-established not-for-profit professional organization located in Surrey, BC. They are currently seeking an experienced Operations / Office Manager to provide leadership and oversee the day-to-day administrative and operational functions of the organization on a temporary full-time basis for an 18-month contract. This is a dynamic leadership opportunity for an experienced administration and operations professional who enjoys managing people, coordinating projects, improving processes, and supporting organizational initiatives. The successful candidate will work closely with senior leadership and play an important role in ensuring the smooth, efficient, and professional operation of the office.

Location: Surrey, BC Hours: Full-time Employment Type: Temporary Start Date: November 2, 2026 Salary: $70,000-$80,000 annually, plus comprehensive benefits Number of Openings: 1

Responsibilities
  • Lead and oversee the day-to-day operations and administrative functions of the organization’s office
  • Establish and improve business processes, project management frameworks, and digital systems to support continuity and operational efficiency
  • Develop and maintain effective systems for organizing, tracking, and managing information
  • Ensure timely and relevant information is communicated to members, leadership, and internal stakeholders
  • Manage multiple concurrent projects, ensuring milestones and deadlines are met and follow-up activities are completed
  • Work closely with senior leadership to establish effective workflows for organizational initiatives and projects
  • Maintain a strong understanding of organizational policies, procedures, bylaws, and governing documents and provide guidance on their application when required
  • Keep senior leadership informed of relevant operational issues and ensure matters are addressed in a timely manner
  • Manage, delegate, review, and supervise the administrative work of the office
  • Provide training, guidance, and ongoing support to administrative staff as required
  • Oversee office facilities, building access, security, maintenance, insurance, and related service requirements
  • Make recommendations regarding office improvements, maintenance, equipment, and capital expenditures
  • Plan and coordinate organizational events, meetings, committee activities, member events, rallies, and outreach initiatives
  • Ensure meeting records and minutes are accurate, distributed in a timely manner, and followed up on appropriately
  • Identify opportunities to improve administrative processes, systems, and overall operational effectiveness
  • Provide leadership and support in resolving operational and administrative issues
  • Manage competing priorities while maintaining a high level of professionalism, accuracy, and confidentiality
Qualifications
  • Diploma in Business, Public Administration, Social Sciences, or a related field from a recognized post-secondary institution
  • Minimum 5 years of experience in administrative services, office management, or operations, including experience supervising or managing a team
  • Experience managing or working with a unionized workforce is strongly preferred
  • Experience within a not-for-profit organization, professional association, membership-based organization, or similar environment is an asset
  • Demonstrated project management and event coordination experience
  • Strong organizational and time-management skills, with the ability to manage multiple projects and competing priorities
  • Excellent interpersonal, mediation, conflict-resolution, and problem-solving skills
  • Strong leadership and people-management abilities, including the ability to delegate, provide direction, and support staff development
  • Excellent written and verbal communication skills
  • Strong attention to detail, professionalism, discretion, and personal integrity
  • Strong computer skills, including Microsoft Office, database management, internet, and web-based tools
  • Experience implementing or supporting new software systems and digital processes is an asset
  • Ability to work independently with minimal supervision while also contributing effectively as part of a team
  • Ability to work effectively under pressure and adapt to changing priorities
  • Proactive, organized, dependable, and solutions-oriented approach to work
