Job summary

ParaMed Home Health Care is seeking an experienced administrative operations supervisor to oversee daily office activities across multiple branches in Northwestern Ontario. You will support administrative staff, coordinate with department heads, manage budgets, and ensure compliance with policies while maintaining smooth cross-site operations.

You will also assist with recruitment, meetings, and logistics, support WorkDay usage, and help prepare for orientations and training sessions.

Responsibilities

  • Oversee daily office operations and ensure smooth functioning
  • Supervise and support administrative staff
  • Act as a liaison between departments and upper management
  • Manage office budgets and track expenses
  • Coordinates with maintenance services
  • Handle administrative tasks such as scheduling meetings and managing correspondence
  • Implement and enforce office policies and procedures
  • Communicating with department heads
  • Run reports or keep track of operational metrics as required
  • Support the Joint Health and Safety Committee and activities at the branch as assigned
  • Monitor/Support WorkDay activities as assigned; assist front line staff with navigation of WorkDay and submitting expenses
  • Work with OEP/Educator to prepare for any orientations/education sessions
  • Make up Nursing bags and order supplies for skills labs and other clinical requirements as needed
  • Maintain relationships with landlords at all branches and maintenance crews to ensure building needs are addressed and report to leadership any concerns
  • Greet all staff/new recruits as they come in and support them as needed
  • Manage contracts for equipment at branches and update accounting with any payment changes/issues
  • Maintain daily cleanliness of the branch by garbage removal, vacuuming, dusting, etc.
  • Assist recruitment for in person interviews and in office recruiting events
  • Post memos/newsletters/union updates on boards
  • Liaison with coordination and leadership on concerns and site-specific tasks/reports
  • Assist with engagement and retention activities
  • Complete mask fit test as needed
  • Assist with DNA Collection Samples and monitor private inbox
  • Maintain seniority lists
  • Data collection and entry as required
  • Support satellite branches with all above and travel as required
