TechAlliance of Southwestern Ontario is seeking an organized Operations professional to support the executive team and oversee office operations in a hybrid London, ON role. The position involves calendar management, travel coordination, and cross-functional coordination with IT, finance, and HR teams.

The ideal candidate has 3+ years in executive administration or similar roles, with post-secondary education in business administration. French language skills are a plus, and equity is emphasized.

ReportingtotheChief Operating Officer,yourresponsibilitiesinclude
  • Proactively supports the executive leadership team in a dynamic environment, including managing the calendars and scheduling priorities of theChiefExecutiveOfficerandChiefOperating Officer.
  • Handles sensitive and confidential information witha high levelof discretion,professionalism, and sound judgement.
  • Coordinatestravelarrangements,meetinglogistics, reservations, and guest hospitality to ensure a seamless experience for internal and external stakeholders.
  • Maintains efficient office operations, including supply inventory management, telephone setup,courierand mail coordination, and liaising with property management and external vendors.
  • Oversees shared office, meeting, and hospitality spaces to ensure a clean, organized, and welcoming environment, including coordinating kitchen supplies, appliance upkeep, and general workspace readiness for staff and guests.
  • Coordinates internal operations and team support activities, including scheduling meetings,maintainingshared calendars, andfacilitatinginternal communications.
  • Prepares and supports internal communications, reports, presentations, and other organizational documents.
  • Liaises with IT service providers to coordinate hardware and software needs andassistwith issue resolution.
  • Leads or supports special administrative projects and process improvement initiatives that enhance operational efficiency and reduce manual work.
  • Supports the Financial Operations Specialist with payroll, financial, and HR administration functions. Responsibilities include assisting with bi-weekly payroll processing and related documentation (T4s, deductions, remittances, ROEs), invoice coordination, expense reconciliation, tracking payables and receivables, onboarding and offboarding activities, employee engagement initiatives, andmaintainingaccurateemployee records and supporting documentation for reporting and audits.
  • Performsother administrative and office support duties as assigned.
Whatyouneedtosucceed
  • 3+years of professional experience in executive administration, office operations, or a similar administrative support role.
  • Post-secondary education in Business Administration or related field is an asset
  • Experience supporting financial administration functions, including accounts payable/accountsreceivable coordination, expense reconciliation, payroll support, andmaintainingaccuratefinancial records and documentation.
  • Resourceful and curious, with a strong ability to problem-solve, adapt, and independently navigate challenges in a fast-paced environment.
  • Highly organized with exceptional time management, prioritization, and attention to detail; able to manage multiple competing priorities with accuracy and professionalism.
  • Collaborative team player with a proactive approach and strong bias toward action, continuous improvement, and operational efficiency.Strong verbal and written communication skills, with the ability to exercise sound judgment andmaintaina high levelof confidentiality and discretion.
  • Comfortable leveraging digital tools and technology to improve workflows,identifyefficiencies, and support automation.
  • Software savvy –we’rea Microsoft shop and leverage tools like Slack, Gemini, GPT,Monday.com and HubSpot. Experience with Entrepreneurial Operating System (EOS) is an asset.
  • Validdriver'slicence,accesstoareliablevehicle,andresidence withinElgin,Huron,Lambton,Middlesex,or Oxford County.
  • Fluency in French isconsideredan asset.
