Job summary

Avis Budget Group in Ottawa is seeking an organized fleet/vehicle administrator to ensure title and registration paperwork is processed timely and accurately. You will respond to calls and emails, perform data entry, auditing, and manage MTO issues in a fast-paced office environment.

Qualifications

• High School diploma or GED required.
• Minimum 1 year of hands-on MS Excel experience (pivot tables, macros).
• Minimum 1 year of data entry experience, customer service skills required.
• Excellent data entry skills, multi-tasking, organizational skills and good written communication required.

Responsibilities

• New vehicle package preparation.
• New vehicle delivery/tracking.
• Entering new vehicle information into our system.
• Request/renew/cancel license plates and enter data into our system.
• Process returned plates/match ownerships to plates.
• Update database and marshal cars sold with a detail-oriented process and pull documentation/spare keys.
• Send copies of registrations and insurance verification.
• Update pipeline spreadsheets daily using MS Excel.
• Update wholesale report.
• Do buyback packages as needed.
• Provide fleet detail reports to support month-end reporting.
• Monitor and update vehicle tracking devices in our system.
• Organize and manage spare key room.
• Process and submit vehicle PDI forms.
• Learn CDK software and update work orders.
• Complete other duties as assigned.

Avis Budget Group has an exciting opportunity for you to leverage your experience in fleet / vehicle administration & management. We're looking for a detail-oriented, meticulous professional with a methodical approach. You will be responsible for ensuring all Avis Budget Group title and registration paperwork is processed timely and accurately. Respond to incoming calls and e-mails promptly, providing all necessary research and documentation needed. In addition, they will be handling data entry of various car information, auditing, as well as addressing processing and MTO issues. This role is in an office environment with regular weekly business hours Monday - Friday. Pay Rate - $19/hr

What you will do:

• New vehicle package preparation
• New vehicle delivery/tracking
• Entering new vehicle information into our system
• Request/renew/cancel license plates as appropriate, and enter data into our system
• Process returned plates/match up ownerships to plates
• Update database and marshal cars sold with a consistent, detail-oriented process as well as pull documentation/spare keys for sold vehicles
• Send copies of registrations and insurance verification
• Update pipeline spreadsheets daily using MS Excel
• Update wholesale report
• Do buyback packages as needed
• Provide fleet detail reports to support month-end reporting
• Monitor and update vehicle tracking devices (AIRIQ) in our system
• Organize and manage spare key room
• Process and submit vehicle PDI forms
• Learn CDK software and update work orders
• Complete other duties as assigned

What we are looking for:

• High School degree/GED required
• Minimum 1 year of hands‑on experience with MS Excel (pivot tables, Macros, etc)
• Minimum 1 year of data entry experience, customer service skills required
• Excellent data entry skills, multi-tasking, organizational skills, Excel knowledge, and good written communication skills required
• Good analytical skills and some macro knowledge preferred
• Must be able to work in a fast paced work environment
• Prior vehicle dealership and / or fleet management experience highly preferred
• Valid Driving license and clean driving record (comfortable driving multiple times a day to various locations to drop/pick licensing documents).
