Position Summary: Provide clerical support for Unity Prayer Ministry.

Essential Job Functions

  • Perform clerical duties including hard-copy as well as electronic filing; distributing inter-office mail; ordering and distributing supplies and in-house printing; and general office-related tasks.
  • Prepare and mail department communications such as birthday cards and notices to affiliated ministries.
  • Record and distribute meeting minutes as requested.
  • Coordinate meeting room usage department wide.
  • Coordinate office equipment service and repair.
  • Organize and upkeep departments electronic files, providing consistency for document titles and archival folders.
  • Produce accurate, properly formatted documents, PowerPoint projects, and Excel reports under tight time constraints.
  • Represent UPM while interacting with the public as well as other departments.
  • Conduct business successfully by means of computer technology, as required.
  • Demonstrate regular and reliable attendance, adhering to assigned schedule. As a department defined as essential personnel, UPM may be required to work the scheduled shift during instances when other departments are not operating (such as inclement weather). This may be a hybrid position (some hours required on campus and others may be work-from-home).
  • Adhere to all company and departmental policies and procedures per the guidebook, including all safety requirements.
  • Utilize electronic time management system to input time, attendance, and time off requests.
  • Work with Workforce Management and Scheduling Software.
  • Other clerical duties as assigned.

Non-Essential Job Functions

  • Provide clerical assistance specific to leadership, as requested.
  • Assist Forecast and Scheduling with adjustments to prayer associate schedules as needed.
  • Support department and UWH events and initiatives.

Education

  • High School Diploma or GED equivalent required.

Experience

  • Two years office experience.
  • Proven organization and efficiency skills, with attention to detail.
  • Excellent interpersonal and verbal communication skills to appropriately interact with all levels within the organization, the Board of Directors, and external donors or constituents.
  • Solid writing skills and demonstrated command of proper English, grammar, and spelling.
  • Demonstrated experience maintaining confidentiality.

Computer Skill

  • Competent use of MS Office Suite: Word, Excel, Outlook, PowerPoint, and Teams.
  • Competent use of computer, Internet, device applications, and social media.
  • Preferred experience with Paycom and Workforce Management Software.
