Job description

Position Summary: The Administrative Assistant plays a pivotal role in supporting the Unity Prayer Ministry team by providing comprehensive administrative, organizational and project support to UPM Senior Managers. The ideal candidate is a highly organized and detail-oriented individual with exceptional communication and interpersonal skills, capable of handling multiple priorities in a dynamic environment.

Essential Job Functions

  • Serve as first line and primary point of contact for UPM; act as liaison with other departments to ensure smooth communication and alignment of goals.
  • Perform administrative duties to include but not limited to:
    • Manage calendars, appointments, and meetings, attending and taking notes when required
    • Administer workflow in Paycom HRIS limited to Time Management
    • Prepare documents, reports and presentations; maintain accurate and comprehensive records systems
    • Provide excellent customer service by effectively managing communications across multiple channels; coordinating and assisting with special events and employee engagements.
  • Adhere to strict confidentiality protocols, respecting the privacy and anonymity of individuals seeking prayer and handling sensitive information with utmost care.
  • Support departmental and UWH-wide initiatives.
  • Demonstrate regular and reliable attendance, adhering to assigned schedule and utilizing electronic time management system. This is not a remote position although you are able to work from home on occasion with your supervisor’s approval.
  • Adhere to all company and departmental policies and procedures per the guidebook including all safety requirements.
  • Utilize electronic time management system to input time, attendance and paid time off requests.
Non-Essential Job Functions

  • Support other divisions and administrative assistants, as requested.
  • Attend meetings and take minutes to distribute, as assigned.
  • Participate in organizational planning and/or attend special events.
  • Communicate and appropriately act on behalf of the senior manager when necessary.

Competencies

  • Work collaboratively with senior managers and team members to ensure efficient operations and seamless service. Troubleshoot proactively and implement solutions.
  • Prioritize and effectively manage multiple projects, ensuring accuracy and maintaining regular communication to meet strict deadlines.

Education

  • High School Diploma or GED equivalent required.
  • Associate’s degree preferred.

Experience

  • Three years current executive administration experience.
  • Two years demonstrated project coordination experience.
  • Advanced organizational and multi-tasking skills with a keen eye for detail.
  • Outstanding, articulate written, verbal and interpersonal communication skills.
  • Ability to appropriately interact with all levels within the organization, the Board of Directors, and external donors or constituents and maintain calm demeanor in all circumstances.
  • Proven experience operating effectively under limited supervision.
  • Familiar with contact center environment.

Computer Skills

  • Advanced end user of MS Office Suite: Word, Excel, Outlook, PowerPoint, and Teams.
  • Advanced use of computer, device applications, and social media.
