Job summary

Mennonite Central Committee (MCC) is seeking an Office Assistant in Winnipeg. The role is salaried, full-time, 7.5 hours per day, Monday to Friday, in-office. You will be the front desk presence, greet visitors and donors, and provide administrative support to admin, finance and HR teams.

Responsibilities

  • Be the first point of contact for inquiries - in person, phone and email.
  • Greet and assist visitors, supporters in a friendly, prompt manner.
  • Answer general line phone calls and refer to appropriate staff.
  • Monitor and manage general voicemail box and update greetings/settings.
  • Manage two general email accounts, directing inquiries to appropriate staff.
  • Process daily outgoing and returned mail; deliver to Canada Post; assist with mass mailings.
  • Data entry: address changes, surveys, subscriptions, etc.
  • Make photocopies of reports; track media coverage.
  • Book parking and material resource appointments; assist as needed.
  • Process donations from walk-in supporters; monitor donation line.
  • Make thank you calls and handwritten cards to supporters.
  • Collect and format submissions for monthly staff newsletter.
  • Monitor office supply inventory and shipping/receiving schedules.
  • Assist with office equipment management.
  • Train and liaise with volunteers for desk coverage.
  • Assist with logistics of weekly volunteers.
  • Attend to kitchenette, coffee, and cleaning tasks.
  • Assist with shipping/receiving of large deliveries (lift up to 20 kg).
  • Participate in DEI training and regular staff meetings.
  • Model nonviolent peacemaking in daily interactions.
  • Other duties as assigned.

Office Assistant

Job Synopsis

This is a salaried position, working 7.5 paid hours per day Monday to Friday in office. The Office Assistant joins a strong core support team (admin, finance and HR) and will be the front desk presence for the organization, in addition to providing administrative and office support. Greeting guests, donors, volunteers, deliveries, and coffee shop customers, they will provide a friendly welcome and knowledgeable responses to inquiries, while utilizing interpersonal, administrative and computer skills to support the organization more broadly. This role reports to the executive director and receives delegated tasks from the executive office administrator and other colleagues as appropriate.

  • 2+ years of experience working in an office-based role
  • Computer experience with professional proficiency in Microsoft Office (Teams, Word, Excel, Outlook)
  • Experience with basic data entry and database functionality
  • Excellent verbal, telephone, and written communication skills (English)
  • Proficient penmanship for addressing envelopes and writing cards
  • Ability to demonstrate sensitivity, tact, and confidentiality

Key Responsibilities
Reception

Administration
  • Mail Processing:
    • Process daily outgoing and returned mail; deliver outgoing mail to Canada Post; open and distribute incoming mail; assist with occasional mass mailings including folding machine, label printing and envelope stuffing
  • Data Entry:
    • Address changes, survey, subscription, deceased supporter, delivery, engagement contacts, and other data entry and tracking assignments as required
  • Make photocopies of impact reports and other items as required
  • Tracking local media coverage and monitoring obituary listings
  • Book weekly parking for volunteers and oversee daily parking sign-in
  • Book weekly drop-off/pick up material resource appointments and be physically present to assist on occasion if required
  • Process donations from walk-in supporters and monitor the donation line on assigned shifts
  • Make thank you calls and send handwritten cards to supporters
  • Collect and format submissions for monthly staff newsletter
  • Monitor office supply inventory, shipping/receiving schedules
  • Assist with management of office equipment as required
Volunteer Assistance
  • Train and liaise with volunteers for weekly reception desk coverage
  • Assist with coordination and logistics of weekly material resource volunteers (one morning per week)
General
  • Attend to kitchenette inventory and tidying, running dishwasher, making coffee, compost bin schedule
  • Assist with shipping/receiving of large deliveries (must be able to lift 20 kgs) approximately 1-2X per month
  • Participate in diversity, equity, and inclusion training activities
  • Participate in regular team meetings and various staff meetings, providing occasional coordination support as needed
  • Model nonviolent peacemaking through daily interactions with staff and the public
  • Other duties as assigned
