Role Overview

As a Medical Receptionist, you will be the core communication for patients outside of the clinic for seeking treatments and updates. Your role is critical in ensuring that patients receive exceptional service from their first inquiry to post treatment follow up. You will handle medical-related inquiries with professionalism and provide expert guidance on available medical treatments.

Your focus will be on delivering a personal and positive experience for patients throughout the lifecycle of their experience within Rejuvenation. By working closely with our medical team and maintaining accurate EMR records, you will play a key part in ensuring smooth communication and seamless scheduling for our patients.

Role Objectives

The Medical Receptionist responsibilities include, but are not limited to:

  • Answer Medical Inquiries: Handle all incoming calls, emails, and inquiries with warmth, professionalism and attention to detail.
  • Follow Communication Scripts: Using knowledge of the company’s products and services to go off-script when necessary.
  • Identify Patient Needs: Research issues, resolve complaints, and provide solutions
  • Provide In-Depth Knowledge: Maintain a thorough understanding of all cosmetic procedures and products to educate potential clients effectively.
  • Patient Experience Focus: Ensure each client feels confident and comfortable by creating a personalized, positive experience.
  • Maintain EMR Records: Accurately track all inquiries, follow-ups, and appointments in the clinic’s EMR system, while maintaining confidentiality.
  • Performing Other Duties: As requested by management and supervisory team.

Role Qualifications

  • Education: Medical Office Assistant certification from an accredited institution or higher preferred
  • Experience: 1+ years of proven clerical or customer service work experience
  • Industry Knowledge: Experience within the medical and dermatological industry.
  • Communication Skills: Excellent verbal and written communication abilities
  • Technical Skills:

Proficiency in maintaining and updating a EMR system

Proficient in Microsoft Office Suite programs

  • Attention to Detail: Strong organizational skills and attention to detail
  • Additional Assets:

Experience in a telephone etiquette role is considered an asset

Ability to work in a fast-paced environment

Positive attitude and willingness to learn new skills

Ability to work as a team and independently

Flexible availability, willingness to work weekends and evenings
