Job summary

Miller Waste Systems in Markham, ON, is seeking a Dossier (AMCS) Systems & Fleet Maintenance Trainer to manage work orders and life data for commercial trucks across multiple sites. This role leads system maintenance, vendor liaison, and employee training to continuously improve the Dossier fleet maintenance system.

The SME will provide frontline support and coaching, partnering with Operations, Maintenance, IT, and the software vendor to drive improvements and standardized maintenance

Responsibilities

Summary:

The Dossier (AMCS) Systems & Fleet Maintenance Trainer is responsible for generating and maintaining work orders and life data for commercial trucks and equipment. This highly motivated individual will be responsible for system maintenance, vendor liaison, employee training, and continuous improvement of our Dossier fleet maintenance management system across multiple operating locations.

This role serves as the primary subject matter expert (SME) for Dossier, providing frontline support, coaching, process guidance, and system oversight to ensure consistent use of standardized maintenance procedures. The successful candidate will work closely with Operations, Maintenance, IT, and our software vendor to drive system improvements, support integrations, and enhance fleet maintenance performance.

Responsibilities :

In the position of Dossier (AMCS) Systems & Fleet Maintenance Trainer your responsibilities will include, but not be limited to:

  • Lead new facility implementations and Dossier go-live activities, including acquisitions, asset setup, VRMS coding, and system configuration.
  • Serve as the frontline trainer and subject matter expert for all Dossier users.
  • Travel to operating locations to provide hands-on coaching during implementation and post go-live support.
  • Conduct follow-up audits to ensure proper adoption, data integrity, and standardized maintenance processes.
  • Provide ongoing oversight and coaching to Maintenance and Parts Coordinators during the first several months following implementation to identify training gaps and reinforce best practices.
  • Ensure all facilities consistently follow company maintenance procedures and Dossier standards.

Training & Development

  • Develop and deliver standardized onboarding and training programs for new Dossier users across all locations.
  • Maintain consistency in training to ensure all employees receive the same procedural instruction regardless of location.
  • Create, update, and maintain training materials using platforms such as ClickLearn, Articulate 360, and other learning tools.
  • Identify knowledge gaps and develop additional learning resources as required.
  • Act as the primary point of contact for Dossier procedural questions and user support.
  • Host regular virtual user support sessions where employees can ask questions, share ideas, and discuss best practices.
  • Lead bi-weekly Dossier enhancement meetings to review system improvements and outstanding issues.
  • Participate in monthly meetings with the Dossier (AMCS) development team to prioritize enhancements, review deficiencies, and influence future product improvements.
  • Evaluate enhancement requests and make recommendations regarding system procedures and configuration.
  • Communicate system updates, outages, procedural changes, and important announcements to all Dossier users.

API Integration & System Support

  • Monitor daily API integration reports between Sage and Dossier and investigate upload errors.
  • Work closely with IT and business stakeholders to resolve interface issues.
  • Participate in ongoing API integration initiatives to improve system functionality and automation.
  • Assist with testing new integrations and system enhancements.

Fleet Maintenance Performance

  • Support ongoing improvement of Preventive Maintenance (PM) compliance through meter threshold optimization and reporting enhancements.
  • Collaborate with Operations and IT to improve fleet maintenance reporting and key performance indicators.
  • Assist locations with complex Dossier corrections, including:
  • Timecard labour entry corrections
  • Meter reading corrections
  • Other procedural data issues requiring specialized system knowledge
  • Support implementation and ongoing maintenance of shop dashboard displays used for technician productivity and live maintenance updates.
  • Work with internal stakeholders to ensure dashboard accuracy and continued effectiveness.

Competencies & Qualifications:

  • Experience using Dossier (AMCS) Fleet Maintenance Software or a similar Computerized Maintenance Management System (CMMS). Experience with Sage ERP or similar accounting systems.
  • Experience creating e-learning content using ClickLearn, Articulate 360, or similar training platforms.
  • Knowledge of maintenance reporting and KPI development.
  • Strong understanding of fleet maintenance operations, preventive maintenance programs, and maintenance workflows.
  • Experience delivering virtual, classroom and hands-on training.
  • Strong troubleshooting and problem-solving abilities.
  • Experience supporting software implementations and organizational change management.
  • Knowledge of API integrations between business systems is considered an asset.
  • Excellent communication, presentation, and interpersonal skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Comfortable working independently while collaborating across Operations, Maintenance, IT, and external software vendors.
