The Role

The Marketing + Proposals Manager is responsible for leading the firm’s pursuit, proposal, qualification, and interview processes while managing marketing and communications initiatives that support business development, brand awareness, and growth objectives.

Reporting to the Director of Marketing + Communications, the Marketing + Proposals Manager serves as the primary owner of the firm’s pursuit and proposal activities, coordinating opportunities from identification through submission, interviews, and post‑submission follow‑up. The role works closely with Leadership, project teams, consultants, and external partners to deliver high-quality submissions and support the firm’s growth, visibility, and market position.

This position requires exceptional project management, communication, graphic design, and organizational skills, with a strong focus on proposal leadership and business development support. The role combines strategic thinking with hands‑on execution, providing leadership across pursuit, proposal, and marketing activities while ensuring the firm’s submissions and marketing initiatives consistently meet the highest standards of quality.

Key Responsibilities
Proposal Management & Business Development Support (60%)
  • Lead and manage the firm’s proposal, qualification, and interview processes from opportunity identification through submission and post‑submission follow‑up.
  • Collaborate with Leadership to identify, evaluate, track, and prioritize public and private sector opportunities.
  • Review procurement documents and summarize submission requirements, evaluation criteria, risks, opportunities, and action items.
  • Develop pursuit strategies, workback schedules, compliance matrices, and submission plans to ensure timely and competitive responses.
  • Lead proposal kick‑off meetings and coordinate deliverables from internal team members, consultants, and strategic partners.
  • Manage all aspects of proposal production, including content development, graphic design, page layout, editing, quality control, and final submission.
  • Develop custom graphics, infographics, data visualizations, and presentation materials that strengthen proposal submissions.
  • Coordinate interview preparation, presentation development, rehearsal sessions, and post‑interview follow‑up activities.
  • Maintain proposal tracking systems and monitor key business development metrics, including pipeline activity, win rates, and pursuit outcomes.
  • Monitor industry trends, procurement opportunities, market activity, and competitor intelligence to support pursuit planning and strategic decision‑making.
Marketing & Brand Management (25%)
  • Manage the creation, maintenance, and quality control of marketing collateral, including project sheets, resumes, reference sheets, brochures, presentations, and client‑facing materials.
  • Ensure consistency of the firm’s brand, messaging, and visual identity across all communication channels and materials.
  • Develop and maintain proposal, presentation, and marketing templates to improve efficiency, consistency, and brand standards.
  • Support graphic design, storytelling, and data visualization initiatives that enhance marketing and business development efforts.
  • Maintain the firm’s marketing asset library, project database, and content repository.
Content Development & Digital Marketing (15%)
  • Support the execution of the firm’s communications, marketing, and business development initiatives through the creation and coordination of internal and external content.
  • Coordinate content gathering, storytelling, factchecking, quality control, and brand consistency across all communications materials.
  • Assist with the identification and evaluation of award opportunities that align with the firm’s strategic objectives. Manage the preparation and submission of award applications.
  • Support Leadership with conference materials, thought leadership initiatives, and business development messaging.
  • Maintain marketing databases, CRM platforms, contact lists, distribution lists, digital assets, and content libraries.
  • Manage and maintain the firm’s website, social media channels, email marketing initiatives, and digital content platforms.
  • Monitor and report on website, social media, email marketing, and campaign performance metrics, and recommend improvements based on results.
Qualifications
  • 5-8+ years of progressive experience in marketing, proposal management, business development support, or communications, preferably within the architecture, engineering, construction, planning, or professional services sectors.
  • Demonstrated experience leading complex RFP, RFQ, RFSQ, EOI, and qualifications submissions from opportunity identification through final submission.
  • Strong understanding of procurement processes, pursuit planning, and business development support activities.
  • Exceptional project management skills, with the ability to manage multiple concurrent pursuits, deadlines, and stakeholders.
  • Excellent writing, editing, proofreading, communication, and presentation skills.
  • Advanced proficiency in Adobe Creative Suite, particularly InDesign, with strong graphic design, layout, and visual storytelling abilities.
  • Experience developing marketing collateral, proposal content, presentations, award submissions, and other client‑facing materials.
  • Experience managing digital marketing platforms, websites, social media channels, CRM systems, and content databases.
  • Proven ability to collaborate effectively with senior leadership, project teams, consultants, and external partners.
  • Strong attention to detail, organizational skills, and commitment to quality and brand consistency.
  • Experience mentoring or providing direction to junior marketing staff is considered an asset.
  • Degree or diploma in Marketing, Communications, Graphic Design, Business, Journalism, or a related field is preferred.

Salary Starting at $80,000.
