Geosyntec Consultants is seeking a Senior Marketing and Proposal Specialist to join our Canadian offices (Toronto, Ottawa, Waterloo, Cambridge, Guelph, Burnaby) on a hybrid basis. You will lead proposal development, write win themes, and manage SOQs and resumes to win profitable work, coordinating with branch teams and technical leads.

Qualifications

  • Bachelor’s degree in marketing, journalism, communications, or public relations with six (6) years of progressive professional experience in engineering, architecture, or commercial construction (required) or ten (10) years of related experience.
  • Demonstrated writing skills with ability to craft clear, concise messages (required).
  • Formatting, editing, proofreading, and attention to detail (required).
  • MS Office proficiency (Word, Excel, PowerPoint) and Adobe Acrobat (required).
  • Familiarity with Illustrator and graphic design (preferred).
  • Ability to follow complex instructions and manage multiple tasks (required).
  • Ability to work both collaboratively and independently under tight deadlines (required).

Responsibilities

  • Coordinate and lead completion of competitive proposal development from planning to delivery.
  • Draft introductions, win themes, and relevant experience sections.
  • Ensure compliance with SOQ criteria and manage production and on-time delivery.
  • Develop tracking systems for pursuits and coordinate input from technical leads.
  • Create branded presentations and manage marketing collateral and resumes.
  • Collaborate with branch teams to align proposals with strategic plan.
  • Support market research and information gathering for client opportunities.

Geosyntec has an exciting opportunity for a Senior Marketing and Proposal Specialist in our Toronto, ON, Ottawa, ON, Waterloo, ON, Cambridge, ON, Guelph, ON, or Burnaby, BC office. A hybrid work schedule is available for this position at the discretion of the Company. The position will develop compliant, comprehensive, and compelling submittals (proposals and opportunity‑specific statements of qualifications (SOQs)) on a regional or corporate level in order to win profitable work. Responsible for managing, scheduling, editing, and producing proposals, opportunity‑related SOQs, project descriptions, resumes, and other marketing materials in accordance with Geosyntec’s policies, government regulations and copyright laws. Work requires the exercise of considerable initiative and independent judgment.

Essential Duties And Responsibilities
  • Coordinate and lead all aspects of the competitive proposal preparation - from initial planning through delivery and post‑award, including internal and client debriefs on wins or losses;
  • Review and hone messages/win themes within written and visual information for client presentations; identify appropriate story‑boarding of proposal/quals layout;
  • Draft content such as introduction, win themes, proof statements, relevant experience, project teams/organizational charts;
  • Overall responsibility for proposal/SOQ criteria and compliance, oversee production, and arrange for on‑time deliveries;
  • Develop scheduling and tracking systems for individual pursuit and proposal elements and be responsible for distribution & receiving input from key technical leads and decision makers;
  • Develop systems to extract, categorize, and retrieve information related to markets, clients, consultants, personnel, projects, prior proposals, boilerplate, visuals, and mailing lists;
  • Identify BD leaders and help connect seller‑doers across disciplines, and branches, and/or business development initiatives;
  • Track business development opportunities via Client Relationship Management system (CRM);
  • Assist technical and marketing leads with research related to prior pursuit RFP/evaluation panel questions‑answers as well as gather information on potential client projects;
  • Oversee staff in managing routine marketing collateral (e.g., keeping key task schedules on‑track, and resumes and project descriptions up to date);
  • Develop branded presentations with targeted messaging;
  • Create/approve news announcements for internal and external postings;
  • Work closely w/ Branch technical and marketing teams to develop plans that align with the company’s Strategic Plan (i.e., overall goals and objectives);
  • Under guidance from Branch technical and marketing teams, conduct targeted market research to understand preferences of target audiences, drivers/competitors/opportunities;
  • Identify marketing candidates for both office and local‑regional needs;
  • Manage awards competition entries; ensure compliance with award requirements;
  • Analyze research data related to clients; competitors; past, current, and prospective markets; present findings to leadership.
Skills, Experience And Qualifications
  • A bachelor’s degree in marketing, journalism, communications, or public relations with six (6) years of progressive professional experience in engineering, architecture, or commercial construction is required or ten (10) years of directly related experience or any equivalent combination of experience and training that provides the knowledge, skills and abilities to perform the responsibilities of the position. (required)
  • Demonstrated writing skills, including the ability to think critically and analytically about the purpose of the document and how the content might be improved. (required)
  • Formatting, writing, editing, and proofreading skills with strong attention to detail. (required)
  • Windows proficiency including, MS Professional (Word, Excel, and PowerPoint), Adobe Acrobat, and typing ability. (required)
  • Familiarity with Illustrator and some graphic design experience. (preferred)
  • Ability to understand and follow complex oral and written instructions. (required)
  • Ability to multitask, prioritize, and manage workflow. (required)
  • Ability to work both collaboratively and independently to perform effectively under tight deadlines. (required)

Below is the range that we in good faith believe is the potential compensation for this role at the time of this posting and is only applicable for jobs to be performed in the specified location(s) below. The typical base salary range for this position is just one component of Geosyntec’s total compensation package for employees. Actual compensation will be determined based on education, experience, skill set and location.

  • Minimum Salary: $ 88,755/ Maximum Salary: $ 104,420 (Cambridge, ON, Guelph, ON, Waterloo, ON)
  • Minimum Salary: $ 93,195/ Maximum Salary: $ 149,110 (Ottawa, ON, Toronto, ON, Burnaby, BC)
