We are seeking a highly organized, creative, and detail-oriented Marketing Assistant to join our dynamic team and support projects across Marketing, Sales, Product Development, Design, social media, PR, and Management. YOUR ROLE IN THE COMPANY:

As our Marketing Assistant, you will play a key role in supporting and coordinating marketing projects across multiple departments. This role includes presentation development, market research, sample coordination, asset management, PR support, tradeshow preparation, catalogue development, design support, and general marketing coordination.

A key part of this position is managing multiple requests at once, following up across departments, keeping projects and assets organized, and ensuring customer-facing materials are accurate, professional, and delivered on time. Your organizational skills, creativity, attention to detail, and ability to support last-minute requests will be essential to the success of the Marketing team.

AS WELL AS:
  • Coordinate product samples, imagery, and marketing assets to support customer meetings, sales initiatives, ecommerce platforms, presentations, and promotional activities.
  • Create customer presentations, product launch materials, line reviews, sell sheets, seasonal catalogues, trip recaps, and other sales and marketing collateral.
  • Design email banners, tradeshow invitations, promotional graphics, ecommerce content, and AI-generated lifestyle imagery when appropriate.
  • Collaborate with Sales and Ecommerce teams to support product listings, customer image requests, and digital catalogue accuracy.
  • Research and compile beauty, skincare, personal care, retail, competitor, and consumer trend insights to support product development and business growth.
  • Develop consumer insight, competitive analysis, and trend presentations to identify market opportunities and support strategic decision-making.
  • Serve as the primary liaison with external PR agencies and Tradeshows, coordinating communications, follow-ups, action items, and relationship management.
  • Support PR & Tradeshow events by organizing product samples, imagery, marketing assets, product information, and event materials.
  • Prepare and distribute internal marketing communications highlighting launches, PR activity, company achievements, events, and key business initiatives.
  • Coordinate product samples for photography, customer meetings, sales requests, tradeshows, PR activities, and internal projects.
  • Manage the organization, storage, tracking, photography, labeling, and distribution of product samples and reference materials.
  • Maintain accurate and accessible marketing assets, including product imagery, presentations, artwork, photography, and shared digital files.
  • Act as the primary resource for locating and distributing presentations, product files, artwork, images, and other marketing materials.
  • Create and maintain SOPs, trackers, guides, catalog management tools, and other supporting documentation.
  • Prepare meeting materials, trip binders, schedules, and supporting documents for internal and customer-facing activities.
  • Support trade show and event preparation by coordinating samples, presentations, product information, imagery, invitations, and marketing collateral.
  • Provide administrative and project support to Sales, Product Development, and Management teams, including urgent and ad hoc requests.
OUR IDEAL CANDIDATE:
  • Prior experience in marketing, administrative, project coordination, or related support role is preferred.
  • Post-secondary diploma or certificate in marketing, communications, business, project coordination, or a related field is preferred.
  • Strong interest in beauty, skincare, personal care, retail, consumer trends, and social media.
  • Comfortable researching market trends, competitor activity, ingredients, retail trends, and emerging consumer insights.
  • Excellent computer skills, including Microsoft Word, Excel, Outlook, PowerPoint, Sharepoint, Canva and other tools.
  • Strong proficiency in AI tools and presentation development, with the ability to create polished, visually compelling mock-ups, imagery, presentations, and other branded marketing materials.
  • Exceptional presentation-building skills with the ability to develop polished, visually compelling, informative, and on-brand materials for internal and customer-facing audiences.
  • Comfortable working with product imagery, artwork, logos, renders, digital assets, and shared files.
  • Able to create and maintain trackers, reference documents, SOPs, catalogues, sell sheets, and internal guides.
  • Strong multitasking skills with the ability to manage multiple priorities and deadlines.
  • Highly organized and able to keep samples, files, assets, and project materials accurate and easy to access.
  • Quick to learn and adapt. Able to pivot work priorities to meet the dynamic demands of the business.

  • Ability to ensure customer-facing materials are accurate, professional, and delivered on time.
  • Comfortable supporting last-minute Management requests.
  • Passionate about beauty — prior experience or a genuine interest in the beauty, skincare, personal care, or retail industry is a plus.
