Job summary

Volm Companies Inc. is seeking a Manufacturing Administrator to ensure accurate production and inventory data within the ERP system and to support product quality and inventory control.

You will enter job hours and material usage, close work orders, perform cycle counts, and conduct routine quality checks on finished bags, while collaborating with production and planning teams to improve data integrity and efficiency.

Qualifications

  • 2-year diploma/associate degree in Business Administration, Operations, or related field preferred.
  • Minimum 1 year ERP system experience in a manufacturing environment preferred.

Responsibilities

  • Enter, verify, and maintain accurate production, labor, material usage, scrap, and job data in the ERP system; close jobs promptly to keep records current.
  • Investigate data discrepancies; escalate unresolved issues to supervisor or planning as appropriate.
  • Perform routine cycle counts and participate in physical inventories; reconcile inventory variances in ERP.
  • Conduct routine quality inspections of finished goods and report defects to quality team.
  • Enter customer orders, process shipments, and route completed jobs for invoicing via ERP.
  • Monitor inventory levels and communicate with production/planning to clarify data and support reporting needs.
  • Support continuous improvement initiatives related to data accuracy, inventory control, and quality processes.

Job Summary

The Manufacturing Administrator is responsible for ensuring accurate production and inventory data within the ERP system while supporting product quality and inventory control. Primary responsibilities include entering job hours and material usage, closing work orders, performing cycle counts, and conducting routine quality checks on finished bags.

  • Enter, verify, and maintain accurate production, labor, material usage, scrap, and job data within the ERP system, and close jobs promptly to ensure current production and inventory records.
  • Investigate data discrepancies, follow up with production staff as needed, and elevate unresolved issues to the Manufacturing Supervisor, Operations Manager, or Planning, as appropriate.
  • Perform routine cycle counts and participate in physical inventories; investigate variances and reconcile inventory discrepancies within the ERP system.
  • Conduct routine quality inspections of finished goods, document results, and report defects or deviations to the Manufacturing Supervisor or Quality team.
  • Enter customer orders, process shipments, and ensure completed jobs are forwarded for invoicing through the ERP system.
  • Monitor inventory levels, report low stock or unusual usage, and communicate with production and planning teams to clarify data and support reporting needs.
  • Support continuous improvement initiatives related to production data accuracy, inventory control, and quality processes.
Required Skills and Abilities
  • Strong attention to detail, with the ability to maintain accurate records and documentation in electronic and/or manual systems.
  • Problem-solving and critical-thinking skills to address routine issues and support continuous improvement efforts.
  • Proficiency in using applicable computer systems and software, including ERP systems, spreadsheets, and word processing applications relevant to the role.
  • Strong organizational skills, with the ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
  • Ability to analyze information, identify discrepancies, and apply sound judgment to support operational decision-making.
  • Effective interpersonal and communication skills to collaborate with internal teams and external contacts in a professional manner.
  • Demonstrated ability to work independently as well as collaboratively in a team environment.

Education and Experience
  • Knowledge of business operations and ERP systems, usually obtained through a 2-year Post-Secondary Diploma or Associate Degree in Business Administration, Operations, or a related discipline, or an equivalent combination of education and experience preferred.
  • A minimum of one year of related ERP system experience in a manufacturing environment is preferred.
Physical Requirements
  • Ability to stand, walk, and move around for extended periods of time.
  • Capability to lift and carry objects of various weights up to 50 pounds occasionally.
  • Proficiency in using hands, fingers, and arms for tasks such as typing and writing.
  • Sufficient visual acuity to read documents and recognize details at close and distant ranges.
  • Ability to hear and understand verbal communication.
  • Flexibility to bend, stoop, and reach low or high objects.
  • Ability to perform physically demanding tasks, such as lifting, pushing, pulling, or carrying heavy objects.
  • Adaptability to work in varying environmental conditions, such as temperature extremes, noise, dust, or fumes, depending on the nature of the job.
  • Willingness to adhere to safety protocols and wear protective gear, including helmets, goggles, gloves, and safety shoes, as required by the job.
