Job summary

Quinte Health in Belleville, Ontario, seeks a Manager, Pharmacy Operations to provide operational leadership across Pharmacy Services.

Reporting to the Director of Pharmacy, you will plan, organize and coordinate daily operations, oversee staffing and workflows, and ensure compliance with professional standards, safety initiatives and information systems to deliver safe and efficient patient care.

Qualifications

Responsibilities

  • Plans, coordinates and oversees day-to-day operations of Pharmacy Services.
  • Ensures compliance with Quinte Health policies and professional standards.
  • Develops and maintains departmental processes and workflows with leadership input.
  • Coordinates staffing, scheduling and workflows to support efficient operations.
  • Acts as primary operational contact for pharmacy issues and escalates when needed.
  • Oversees pharmacy purchasing, inventory and information systems; coordinates annual inventory.
  • Ensures staff training on pharmacy systems and contingency procedures.

Job description

Position Summary

Reporting to the Director of Pharmacy, the Manager, Pharmacy Operations provides operational leadership and oversight of the day-to-day delivery of Pharmacy Services across Quinte Health.

The Manager is responsible for planning, organizing and coordinating pharmacy operations to support safe, effective and efficient service delivery. This includes oversight of staffing and workflow, operational processes, fiscal and human resources, quality and medication safety initiatives, inventory and information systems, and compliance with applicable organizational, professional, provincial and federal standards. Working collaboratively with the Director of Pharmacy, pharmacy leadership and team members, the Manager supports the development and achievement of departmental goals and ensures resources are effectively aligned with operational and patient care needs. The Manager also participates in departmental, organizational and regional committees and initiatives as required.

Required
  • Minimum five (5) years of relevant hospital pharmacy experience.
  • Demonstrated leadership, team-building, teaching and problem-solving skills, with the ability to develop effective working relationships.

  • Demonstrated ability to work effectively in a collaborative and changing environment while maintaining a high degree of professionalism and confidentiality.

Preferred Qualifications
  • Registration in good standing with the Ontario College of Pharmacists as a Pharmacist or Pharmacy Technician.
  • Certification or formal education in hospital or healthcare management/leadership.
Duties
Pharmacy Operations
  • Plans, coordinates and oversees the day-to-day operations of Pharmacy Services.
  • Ensures pharmacy operations and staff practices comply with Quinte Health policies and procedures, Ontario College of Pharmacists requirements, and applicable provincial and federal legislation and standards.
  • Develops, implements and maintains effective departmental processes, procedures and workflows, involving the Director of Pharmacy and/or Quality team as appropriate.
  • Coordinates staffing, scheduling, personnel allocation and workflows to support efficient and effective pharmacy operations.
  • Acts as a primary operational contact for pharmacy issues and concerns, escalating to the Director of Pharmacy as appropriate.
  • Provides leadership and oversight related to pharmacy purchasing, inventory and information systems, including coordination of the annual physical inventory.
  • Supports the Pharmacy Inventory team in managing medication back orders and supply concerns, involving the Director of Pharmacy and other stakeholders as appropriate.
  • Ensures staff are appropriately trained and knowledgeable in pharmacy computer and information systems and that appropriate contingency and back-up procedures are maintained.
People Leadership
  • Provides leadership, coaching and support to Pharmacy staff to promote a collaborative, accountable and team-oriented work environment.
  • Participates in the recruitment, selection, hiring, onboarding and development of Pharmacy staff, involving the Director of Pharmacy as appropriate.
  • Ensures performance and development processes are completed in accordance with organizational requirements.
  • Supports and administers Quinte Health's attendance support program in accordance with applicable policies and practices.
  • Identifies staff education and development needs and facilitates appropriate learning opportunities within and outside the organization.
  • Promotes a continuous improvement environment through effective communication, team building, staff development and ongoing education.
Quality, Safety and Compliance
  • Monitors quality control processes and internal and external medication safety initiatives in collaboration with Pharmacy team members and reports findings to appropriate individuals and committees.
  • Ensures departmental procedures, guidelines and required manuals are developed, maintained and reviewed as required.
  • Supports the Director of Pharmacy in the development, implementation and maintenance of departmental policies and procedures.
  • Promotes and ensures compliance with safe work practices and applicable organizational and departmental health and safety policies and procedures.
  • Identifies operational issues and opportunities for improvement and initiates appropriate corrective action in collaboration with the Director of Pharmacy and other stakeholders as required.
Financial and Administrative Responsibilities
  • Reviews and approves payroll submissions in accordance with organizational processes.
  • Assists with the preparation and management of annual operating and capital equipment budgets.
  • Monitors departmental productivity, expenditures and equipment maintenance and initiates appropriate action when required.
  • Supports the effective utilization of fiscal, human and operational resources.
Leadership and Collaboration
  • Participates in departmental, organizational and regional committees and pharmacy initiatives as required.
  • Works collaboratively with clinical programs, support services and other departments to support safe and effective patient care.
  • Provides operational coverage and support for the Director of Pharmacy as required.
  • Performs other duties as assigned.
