Job Summary

As the Manager of Finance & Administration, you will play a key leadership role responsible for overseeing the organization’s financial health and administrative functions. Reporting directly to the CEO, this position ensures strong financial management, HR administration, and operational efficiency. The successful candidate will play a crucial role in financial reporting, budgeting, compliance, and human resources support while implementing best practices to optimize organizational effectiveness.

Key Responsibilities

Financial Management

  1. Oversee the full accounting cycle, ensuring accurate and timely financial reporting.
  2. Prepare and present financial reports, including monthly statements and year-end financials.
  3. Manage budgeting, forecasting, and cash flow to support the organization’s financial sustainability and align with its goals.
  4. Coordinate and lead the annual audit process, acting as the primary contact for external auditors.
  5. Ensure compliance with government regulations, grant requirements, financial policies, and reporting requirements.
  6. Develop and maintain financial policies, procedures, and internal controls.
  7. Identify and implement cost-saving measures and financial process improvements.
  8. Act as a signing authority for financial transactions and contracts.

Human Resources & Administration

  1. Oversee HR functions, including payroll, benefits administration, and compliance with employment laws.
  2. Support employee relations, recruitment, onboarding, training programs, and performance management.
  3. Support HR policy development and ensure compliance with employment legislation.
  4. Ensure the proper maintenance of employee records and HR documentation.
  5. Address HR concerns, including employee relations, disciplinary actions, and workplace investigations.
  6. Ensure efficient office administration, facilities management, and IT coordination.
  7. Support organizational risk management, compliance, and governance initiatives.
  8. Foster a positive work culture by supporting employee engagement initiatives.
  9. Some travel within Ontario is required for events.

Qualifications

  1. Bachelor’s degree in finance, accounting, business administration, or a related field.
  2. Professional designation (CPA, CFA, CMA, or equivalent) is strongly preferred.
  3. Minimum 5 years of experience in financial management and administration, with ideally 1-2 years of people management experience overseeing HR administration.
  4. Must have worked with government programming and government-funded projects, including putting together budgets for those proposals.
  5. Strong understanding of accounting principles, budgeting, and financial reporting.
  6. Experience in HR administration, including policy development and employee relations.
  7. Excellent leadership, problem-solving, and organizational skills.
  8. Proficiency in QuickBooks Desktop and Microsoft Office Suite.
  9. Strong communication skills with the ability to present financial information clearly.
  10. Ability to manage multiple priorities and work collaboratively with stakeholders.
