This is a fantastic opportunity to play a key role managing all aspects of Human Resources in the Calgary office with respect to support staff. Key responsibilities of the position include: strategy, recruitment, hiring, onboarding, performance management, compensation and bonus recommendations, annual reviews, leaves, terminations, budgeting, ISO compliance, and social/cultural events for staff and the Calgary office.

Major Responsibilities

  • Assists Director, Talent Management with implementing and administering, within the Calgary office, Firm-wide human resource philosophies, policies, plans and programs and, where appropriate, develop and implement local policy, programs and procedures and work in compliance with HR legislation. Collaborates with Toronto Human Resource Team to ensure consistency with Firm-wide practice.
  • Leads recruitment activities for administrative staff positions in a cost-effective manner and within HR legislation standards. Screens, interviews and tests candidates and makes final recommendations for all legal departmental support openings. Coordinates second interviews with legal professionals and administrative department managers. Generates and provides offers of employment for all staff positions within Firm standards.
  • Supervises Legal Assistants, Resource Assistants and Evening Assistants which includes overseeing areas such as recruitment, workload assignment, staff relations, and performance management; co-ordinates overtime support and coverage for legal assistant vacation and absences..
  • Manages change and conflict involving sensitive and confidential staff issues including disputes with policy, work design concerns, turnover; and performance issues up to and including dismissals.
  • Supports an environment conducive to team building and retention of quality staff within the Calgary legal and administration departments.
  • Administers all aspects of the staff salary administration process in the Calgary office including coordinating the annual performance management process for all administrative staff and directly participating in the annual review process for all legal assistants; approving, submitting and maintaining staff position evaluations; and ensuring that employee salaries are equitable. Defines and explains job expectations to legal assistants.
  • Develops and oversees the delivery of the Human Resources orientation for new hires which requires the explanation of Firm policies, the processing of necessary documentation, etc.
  • Prepares for and actively participates in ISO standards audits for the Calgary office, implementing processes and procedures in the Calgary office to ensure compliance related to people controls.
  • Leads and participates in executing various Firm and office-related projects and events, including salary surveys; Staff Appreciation; Student Achievement Awards; Employee Awards etc.
  • Prepares annual budget for the Calgary HR and PODS departments, optimizes the assistant to legal professional ratio within the Calgary office, and ensures headcount for legal assistant staff is optimal.
  • Provides mentorship to the Calgary HR/Legal Talent coordinator, offering support in professional development and guidance on HR processes and practices.
  • As a member of the senior administration team within Calgary, contributes to the overall effectiveness of the office’s operations.

Education And Experience

The position requires, at minimum, a Community College diploma in the HR field, as well as supervisory experience or an equivalent combination of education and experience. At least 5 years of working experience within a professional service environment is also required.

  • Strong oral communication and interpersonal skills required to supervise and motivate staff, as well as to provide training and to orient new employees
  • Excellent writing skills in order to create clear, concise and accurate procedural manuals and reference materials
  • Conflict resolution and problem solving skills necessary to deal with staff related issues and concerns
  • A high degree of discretion
  • Organizational skills needed to efficiently multi-task and schedule work
  • Ability lead and participate in a highly team-based environment, within and the Calgary office and with other Osler offices
  • Proficiency with computers including MS Word, Excel and Outlook

We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
