Q Wealth Partners in Toronto seeks a Manager, Operational Effectiveness & Partner Communications to enhance cross‑functional coordination and partner office communications across Canada. Reporting to the COO, you will lead governance, training, and knowledge management initiatives while promoting consistent execution across head office and partner offices.

You will manage LMS content, onboarding processes, monthly leadership meetings, and the quarterly metrics program.

Qualifications

  • Undergraduate degree in business administration, communications, or related field.
  • 5+ years of financial services operations or communications experience.
  • Experience in process improvement and cross-functional coordination.
  • CSC or industry experience is an asset.
  • Exceptional written and oral communication skills.
  • Proficiency with Microsoft 365, SharePoint/Teams, LMS platforms and survey tools.

Responsibilities

  • Develop and support communication programs for partner offices, portfolio managers, administrators, head office, and asset management teams.
  • Prepare clear, consistent materials for meetings, initiatives, regulatory updates, and operational changes.
  • Advance portfolio manager and administrator engagement through modern, practical communication strategies.
  • Coordinate review, maintenance, and implementation of regulatory client communication materials on operating platforms (IMAs, RDI documents, Welcome Letters).
  • Support the quarterly scorecard and operational metrics program, including data collection, analysis, and reporting.
  • Ensure communications and processes comply with applicable compliance requirements and Code of Conduct and Ethics.
  • Organize recurring monthly manager meetings and coordinate cross-departmental updates.

Job description

This is an exciting opportunity to join a dynamic and rapidly growing partnership of Canadian Portfolio Managers on the leading edge of the financial services and financial technology industry.

Reporting to the COO, the Manager, Operational Effectiveness & Partner Communications, role covers four pillars

  • Partner and internal communications
  • Training, LMS, and knowledge management
  • Meeting cadence, governance, and stakeholder coordination
  • Operational effectiveness

This role supports the COO's operating model by improving communication processes, strengthening cross-functional coordination, maintaining key operational resources, and promoting consistent execution across head office and partner offices across Canada.

Working at our head office in North York, this position is eligible to work from home up to 3-4 days per week on a permanent basis with the aid of the best technology, cyber security, and cloud-based platforms.

Job Requirements:
  • Undergraduate degree in business administration, communications, or related field.
  • 5+ years of financial services industry experience in operations or communications
  • Experience in process improvement, operations or cross-functional coordination
  • Completion of Canadian Securities Course (CSC) or industry experience considered an asset.
  • Exceptional written and oral communication skills.

Key Responsibilities:
Partner & Stakeholder Communications
  • Develop and support communication programs for partner offices, portfolio managers, administrators, head office, and asset management teams, including company initiatives, operational guides, transition support, and cross-functional updates.
  • Partner with senior leaders and department heads to prepare clear, consistent communication materials for meetings, initiatives, regulatory updates, and operational changes.
  • Advance portfolio manager and administrator engagement through modern, practical, and impactful communication strategies aligned with organizational objectives.
  • Coordinate the review, maintenance, and implementation of regulatory client communication materials on operating platforms, including IMAs, RDI documents, and Welcome Letters, ensuring accuracy, compliance, and alignment with organizational requirements.
  • Support the quarterly scorecard and operational metrics program, including data collection, analysis, and reporting to strengthen accountability for partner office operational oversight.
  • Sound judgment and professionalism when handling confidential, operational, client, employee, or regulatory information.
  • Ensure communications and processes adhere to applicable compliance requirements, internal policies, and the Code of Conduct and Ethics.
Operational Effectiveness & Governance
  • Organize and manage recurring monthly manager meetings, including agenda development, stakeholder coordination, action item tracking, and follow-up communications.
  • Support monthly partner meetings by coordinating cross-departmental updates, preparing materials, tracking follow-ups, and ensuring advisors and administrators receive timely and relevant information.
  • Coordinate recurring internal meeting and communication processes, including logistics, distribution lists, content archiving, recording oversight, and governance channels.
  • Identify opportunities to improve operating cadence, communication flow, accountability, and consistency across head office and partner offices.
Knowledge Management, LMS & Shared Resources
  • Compile, organize, and maintain shared resources for partner offices, head office, and asset management teams.
  • Create and maintain training materials, Knowledge Base content, and LMS courses that support onboarding, operational consistency, and employee knowledge-sharing.
  • Administer and oversee the LMS, including user access, permissions, content governance, publishing workflows, stakeholder support, and vendor relationship management.
Onboarding, Admin Events & Employee Integration
  • Own onboarding administration processes, including stakeholder coordination, system and communication access, and integration into key communication channels and meetings.
  • Coordinate administrator events, including both in-person and virtual events, supporting planning, communications, attendance tracking, and follow-up.
