Job summary

The Greater Toronto Airports Authority (GTAA) is seeking a Management Assistant, Airport Operations, to provide comprehensive administrative and financial support for the department at Toronto Pearson. This on-site role coordinates meetings, travel, training, onboarding, and budget activities to keep the team running smoothly.

You will maintain records, support procurement, and help drive continuous improvements while liaising with internal and external stakeholders in a fast-paced airport

Qualifications

  • 4+ years of progressive experience providing administrative support to senior leaders.
  • Budget administration and financial coordination experience.
  • Strong customer service orientation and stakeholder engagement.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Excellent communication, organizational and interpersonal skills.
  • Highly organized and adaptable with strong time management and deadline-fulfillment abilities.

Responsibilities

  • Provide comprehensive administrative support to senior leaders and the Terminal Operations team.
  • Coordinate executive meetings, events, travel, and stakeholder engagements, including agendas and minutes.
  • Drive continuous improvement of administrative processes and workflows.
  • Manage departmental operations including procurement of supplies and equipment, training, and travel arrangements.
  • Coordinate onboarding activities, office moves and workspace readiness for staff.
  • Support procurement, vendor coordination, tender documentation, and contract administration.
  • Assist in budget preparation, monitoring, and financial reporting.

What can you expect from this position?

The Management Assistant provides comprehensive administrative, financial, and operational support to ensure the efficient day-to-day functioning of the department. This role coordinates meetings, events, travel, training, onboarding activities, and office operations while supporting budget administration, invoice processing, expense tracking, and reporting. As a key point of contact for internal and external stakeholders, the Management Assistant builds strong working relationships, manages records and documentation, supports procurement and contract renewal activities, and helps drive continuous improvement initiatives. Success in this role requires exceptional organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced, dynamic airport environment.

As Management Assistant, Airport Operations, you will:
  • Provide comprehensive administrative support to senior leaders and the Terminal Operations team, ensuring the effective and efficient delivery of departmental priorities.
  • Lead the coordination of executive meetings, events, off-site sessions, and stakeholder engagements, including logistics, agendas, presentations, minutes, and follow-up on action items.
  • Drive continuous improvement initiatives by evaluating administrative processes, identifying efficiencies, and implementing enhanced ways of working.
  • Manage departmental operations, including office administration, procurement of supplies and equipment, training administration, travel arrangements, and conference coordination.
  • Coordinate employee onboarding activities, office moves, and workspace readiness to support a seamless employee experience.
  • Support procurement and contract administration activities, including vendor coordination, subscription renewals, tender documentation, and engagement with internal and external partners.
  • Assist in the preparation, monitoring, and forecasting of departmental budgets, including financial reporting, operating expense tracking, accrual management, and invoice processing.
  • Maintain the accuracy and integrity of financial and workforce data within corporate systems, including Hyperion, Oracle, and Kronos, while preparing ad hoc reports and analyses.
  • Serve as a key liaison and ambassador for the department, building strong relationships with leaders, employees, vendors, and external stakeholders while responding to inquiries and facilitating collaboration.
  • Maintain departmental records and information management practices in accordance with corporate policies and provide administrative continuity through backup support to Executive Assistants and Management Assistants as required.
This is the role for you, if you have:
  • 4+ years of progressive experience providing administrative support to senior leaders in a fast-paced, professional environment.
  • Demonstrated experience in budget administration and financial coordination, including tracking expenses, managing budgets, and supporting financial planning activities.
  • Strong customer service orientation with proven ability to build effective relationships and deliver responsive support to internal and external stakeholders.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, with the ability to prepare professional correspondence, reports, and presentations.
  • Exceptional communication, organizational, and interpersonal skills, coupled with sound judgment, discretion, and the ability to manage confidential and sensitive information.
  • Highly organized and adaptable, with strong time management skills and the ability to anticipate needs, manage competing priorities, and meet tight deadlines in a dynamic environment.
  • Secondary School diploma with a combination of relevant education and/or experience.
  • Ability to obtain and retain a Transportation Security Clearance.
