The Career. As Building Services Manager/Maintenance Manager for a V!VA Community, you will lead and mentor a staff of approximately 10 Team Members. Reporting to the Community Director, you will be empowered to manage all aspects of the Maintenance and Housekeeping departments, and the related community resources and agencies who will work with you to ensure V!VA Retirement Communities provides the best in overall care for its residents. You will make working and living at V!VA Retirement Communities an awesome experience by continually working to improve the customer service experience and developing an innovative working environment for team members.

Key Responsibilities include but are not limited to:

Operations:
  • Plan, direct, supervise and evaluate all operational activities within the Housekeeping and Maintenance departments.
  • Manage the day-to-day operations of the Housekeeping and Maintenance departments including service contracts, systems management, and maintenance of the building.
  • Establish and implement a preventative maintenance program for all systems and equipment.
  • Establish and maintain standards of quality service as outlined in our Service Culture Standards; conduct monthly, quarterly, and annual audits including but not limited to:
    • Housekeeping and cleanliness audits
    • Maintenance audits
    • Health and Safety audits
    • Quality Assurance and RHRA related audits
  • Ensure compliance with the Retirement Homes Act and V!VA Policies and Procedures.
  • Ensure all Fire & Safety Inspections are completed and carried out; establish and oversee scheduling, completion, and follow up to all Fire Drills.
  • Provide leadership to Joint Health and Safety Committee, Fire Safety and Quality Improvement programs including conducting fire safety training for Team Members and monthly fire drill procedures.
  • Ensure the Community is well-maintained, and kept to the highest standards.
  • Ensure the timely and efficient laundering of linens, and/or Community Members’ personal clothing.
  • Ensure issue resolution relating to the Housekeeping and Maintenance department are followed through in cooperation with Community Members, families, other V!VA Team Members.
  • Manage and order operating supplies for the Maintenance and Housekeeping departments.
  • Maintain capital expenditure requirements. Create and maintain capital improvement schedules for the Building.
Leadership & Administration:
  • Participate in the recruitment & selection, training, orientation of the department Team Members, ensuring that work is managed effectively. Schedule Housekeeping and Maintenance Team Members and complete all payroll related functions.
  • Prepare New Team Member Checklist for all new hires and customize it to meet the needs of the position and the Team Member; ensure all required documents have been received and are in the Team Member’s People File.
  • Ensure all training required before the start date and before the completion of probation is complete. Ensure all ongoing training is taken, recorded and reviewed with the Team Member to ensure they understand what they’ve learned and the impact on their role on the V!VA Team.
  • Provide Team Members with guidance, direction and performance feedback to promote and ensure a high standard for service delivered to the Community Members. This includes but is not limited to coaching, performance evaluations and progressive discipline as required.
  • Execute all performance management responsibilities including 90 day reviews, annual performance reviews, coaching, and progressive discipline with respect to the Housekeeping and Maintenance Department. Continue to work to improve the customer service experience and develop an innovative working environment for Team Members.
  • Be proactive in reporting concerns regarding issues or behaviours in our workplace that do not contribute to a healthy environment for our Team Members and Community Members.
  • Work closely with other departments/peers to develop, coordinate and maintain high levels of communication within the Community, excellence in the delivery of services and overall happiness and engagement of Team Members.
  • Actively participate in V!VA culture-related programs including but not limited to daily Making Today Great! Meetings, Innovation Leadership Group committee(s), New Team Member Orientation and Onboarding, Service Culture Standards, and V!VA University.
  • Support, encourage and promote our Values, Vision and Mission.
  • Actively participate in the Orange Dot Program by living the V!VA values and acknowledging others for doing the same.
  • Facilitate Department budgets ensuring sufficient resources and equipment are available and have adequate staffing level.
  • Administer Quality Assurance program for the Housekeeping and Maintenance departments; participate in quality initiatives by collecting input and suggestions and formulating solutions in maintaining quality initiatives.
  • Host regular meetings for the Housekeeping and Maintenance departments.
  • Participate in a Manager on Duty schedule and 24 hour on-call for emergencies.
  • Attend Council Forum meetings, as requested.
  • Provide guidance, feedback and communication to the Community Director on all issues, arising matters.
  • Actively participate in Making Today Great Meetings, Operations Meetings, 1:1 CD/Manager Meetings and, where and when necessary.
  • Other projects and responsibilities as assigned.
Business Planning & Monitoring:
  • Assist the Community Director with developing the annual business plan by providing input regarding the Environment Services department, operating budget, capital plan, talent and training plan and Health & Safety/Risk Management plan.
  • Participate in the annual budget process and manage departments based on the approved annual budget.
  • Set annual goals and objectives for the department and evaluate and report results.
  • Implement corrective strategies when there is a budget/plan variance to ensure the overall achievement of objectives.
  • Maintain all required records such as invoices, reports, statistics, etc in accordance with policies, procedures and legislative requirements. Analyze budget variances and develop action plans for improvement.

Qualifications include but are not limited to:

  • Ideal candidate will have a Building Environmental Systems Certification, and/or combined education and work-related experience.
  • Must have a minimum of 3 years management experience in a Long Term Care or Retirement Homes setting.
  • Knowledge and experience with HVAC equipment, building management system, electrical systems distribution, fire alarm and sprinkler system including operation and testing requirements.
  • Demonstrate effective leadership, and strong organizational and problem-solving skills.
  • Ability to work flexible hours and weekends.
  • Available for call-ins.
  • Knowledge in MS Office (Outlook, Word, Excel).
  • Up to date police check-vulnerable sector * verified annually.
  • Has access to a car and maintains a valid Driver’s license.
