Position: Logistics Supervisor
Job Overview:
This position achieves the Genuine Merchant Strategy by assisting the Logistics and Operations Managers in the efficient and effective supervision of the overall performance and functioning of Logistics i.e. Receiving, Shipping, Transportation, Flow and Return Logistics, and providing on-shift supervision of Operations and Inventory Control functions as needed. The Logistics Supervisor coaches and trains team members to achieve the highest level of productivity, customer service, adherence to standard operating procedures and all other company procedures including Food Safety and Health and Safety. The goal is to maintain highest level of service to all customers (internal such as DC Operations, Store Operations, Supply chain and external such as vendors) while maintaining the lowest cost possible. Logistics Supervisor is also responsible to maintain all the KPIs on daily basis and report to his/her manager and provide suggestions for improvements.
Accountabilities:
Leadership and People Management
- Demonstrates Genuine Merchant Leadership and People Management by:
- Upholding and modelling the company’s values of Honesty, Trustworthiness and Mutual Respect in all actions and behaviours
- Assist Logistics Manager in motivating and developing team members and by providing regular feedback and completion of performance appraisals.
- Ensures that team members understand and comply with company standards, policies and procedures including health and safety, loss prevention, food safety and human resource policies.
- Coaches, trains and disciplines team members to maintain the highest level of personal and team productivity by ensuring strong technical skills and on-going product knowledge
- Conducts team member 5-minute huddles to ensure strong communication on company initiatives, goals, objectives and ongoing changes and improvements
- Provides assistance to team members in completing shipping, receiving, picking and dispatching activities as required
- Identify talent pool and work towards nurturing and retaining them
- Temporarily step up and perform most of the Logistics manager’s job duty when manager is away.
- Provide day to day operational directions to Lead Hands and TMs in all areas as needed, based on the needs of business
- Complete systematic shipping and operational tasks on the WMS and TMS.
- Keep all assigned reports and trackers updated
Safety, Equipment, Sanitation, Security
- Maintain a clean, neat and orderly Warehouse, Yard, Trailer Pad and Trailer fleet:
- Model all health and workplace safety standards and demonstrate a commitment to ensuring a healthy and safe work environment for all team members
- Ensure all team members adhere to and are accountable health and workplace safety
- Ensuring all team members adhere to food safety standards and don’t leave product in wrong temperature locations or trailers
- Ensuring that all team members adhere to proper sanitization and cleaning procedures and follow uniform and dress code policy
- Assist in maintaining warehouse and load security
- Ensure the efficient and safe operation of material handling equipment and transportation fleet, utilizing all tracking technology on the fleet
- Execute trailer cleaning program and ensure shippers/drivers/ returns team members are assisting in sweeping the trailers.
- Ensure trailer temperature control by completing visual inspections
Implementing Warehouse Initiatives
- Supports Logistics and Dock Operations Manager in implementing of all Logistics/Warehouse initiatives that support the Genuine Merchant Strategy by:
- Obtaining through understanding of what, why, who, when and how of the initiative
- Communicating to the team members on the need and expected outcome of the initiative
- Addressing any concern or question from the team member in professional manner and reaching out to the management team for more information
- Being a change agent for the initiative
- When manager is away to look after approving invoices and approving repairs
- Works with other department supervisors to supply labor when needed and support the business needs
Logistics: Shipping, Receiving, Transportation and Flow Operations
- Supervise checking and unloading of inbound shipments, orderly stacking of product, picking and staging of outbound shipments in accordance with a high-level productivity.
- Proactively identify trends in Logistics Operations and schedule workforce needs appropriately
- Coach and follow up with bottom performers, ensure the team is meeting the productivity target in all areas
- Interact with the Supply Chain team and vendors regarding any scheduling issues or conflicts
- Report any issues with the loads to the vendors, supply chain team and master data team to get it corrected before the next shipment and charge infractions as per Longo’s policy
- Maintain Vendor On-time Delivery performance and DC on-time offloading performance as per the established KPIs. Provide any inputs to improve the process.
- Verify required inbound/outbound paperwork with drivers, ensuring that all products are properly documented and counted. Ensure that the paperwork is submitted to accounting within 24-48hrs
- On site handling of product related Store to Store transfers – ensure quality and communication are maintained throughout process resulting in seamless product movement.
- Ensure that all the store delivery pallets have been put on the trailer safely and load is secured. Complete trailer sealing and documentation prior to loads leaving Distribution facility.
- Ensure the optimal use of trailer space (cube) by planning the store deliveries in real time. Coordinate with all departments regarding any special delivery.
- Interact with 3PL partners to optimize driver performance and provide feedback
- Ensure all invoices are received in time, checked for accuracy.
- Supervise the Store return handling process and ensure material is stored and redistributed in keeping with DC and Vendor material handling and safety expectations
- Coordinate with the drivers, shippers, and operations teams to ensure that on road time for the drivers is maximized and wait times at stores and DC are kept to a minimum thus optimizing the costs.
- Ensure that all the equipment required for the job are well maintained and functioning. Ensure timely maintenance to avoid breakdowns.
- Keep an active channel of communication with stores regarding their deliveries and any unforeseen delays
- Create schedules for all direct and indirect reports to support operations. Coordinate with other departments to optimize the labour use.
- Ensure all the team members are cross trained to support all aspects of the business.
- Help remove the barriers for team members by providing resources and problem solving the day-to-day issues
- Train workers in duties and polices; recruit and hire staff and conduct performance reviews
- Reply to all emails and phone calls in timely and professional manner with minimum supervision
- May be required to complete shipping and/or receiving responsibilities as required by business need
- Step up to fill the roles of other absent supervisors when needed.
- Ensure that the daily checklists and EOS reports are filled. Ensure proper communication is maintained across shifts
- Ensure any damages, theft and safety incidents are reported on time and follow up is done
- Ensure pick-ups are done on time and back haul is used effectively to decrease empty miles.
- Ensure pre-reception is completed for automation P.Os.
- Ensure flow/pick-up discrepancies are reported to vendor within 48 hours or the established required timeline
Quality
- Ensure inbound and outbound shipments are complete, stable and free of damage
- Ensure all OB shipments get shipped out to stores within 24 hours with 99.5% compliance rate
- In partnership with Logistics managers, ensure the number of LOD loads will be reduced and eliminated
- Reinforce shipping standards for department to achieve zero misdirect
- Oversee trailer temperature control and ensure proper reefer temperature on all loads
- Ensure that the loads are properly wrapped before put away and delivery to stores
- Ensure that temperature sensitive product is kept in proper temperatures and are not mixed
- Ensure that the different articles are not mixed while delivery such as seafood, meat, produce and grocery are not mixed
- Provide supervision in operations to ensure fill rate and picking accuracy targets are achieved on the shift.
Customer Service
- Consistently demonstrates Genuine Merchant Customer Service and holds himself/herself and team members accountable for the following:
- Ensures positive customer service relations with a variety of internal customers such as: Department Managers, Store Managers and Head Office Departments, External Vendors, 3PL Partners and Government Regulators
- Ensure SharePoint trackers are filled out by end of sift. EOS, flow tracker, variance tracker, ad hoc tracker, productivity tracker
- Ensure team is responding to delivery inquires in an appropriate time.
Implementing Polices and Standard Operating Procedures
- Responsible to implement and train team members on all policies and procedures including:
- Standard Operating Procedures
- Health and Safety including equipment training
- WHIMIS
- Food Safety
- Loss Prevention
- Human Resource Policies
Organizational Health and Food Safety Policies
- Promotes and endorses “Safety is our way of life” for all Health and Food safety programs and initiatives
- Observes and support Longo’s safe work guidelines and other safe work practices.
- Role models the importance of health and safety and food safety by always working safely and calls out and addressed and safety issues.
- Recognizes risks which may pose a danger to Team Members and customers and resolves such issues (where possible) or modifies work, mitigating the risk to Team Member/customer until resolution can be sourced and implemented.
Knowledge, Skills & Competencies:
- Post secondary education and a minimum of 5 years of distribution experience
- 3+ years of experience as a supervisor
- Proven leadership skills and/or leadership training
- Good understanding of warehouse, receiving operations, delivery and traffic operations within a distribution setting
- Appropriate knowledge of maintenance and care of equipment, materials and supplies
- Knowledge of Employment Standards, WHIMIS, Food Safety and Loss Prevention practises
- Knowledge of temperature control
- Ability to coach and develop others
- Material handling equipment certification
Working Conditions:
- Work is performed in a standard warehouse environment with participation in meetings at the office
- Ability to manage multiple projects and changing priorities with regular deadlines
- Travel to various Warehouse locations required
- Ability to work a variety of shifts including - evenings, weekends and holidays as business needs require
