Job summary

Nature Fresh Farms is seeking a Logistics Administrator in Leamington to support our busy Logistics Department. This role involves scheduling delivery appointments, tracking freight in our TMS, communicating with carriers, and resolving shipment issues while ensuring compliance and documentation are accurate.

The position works in an office within a fast-paced warehouse environment, with Monday–Friday hours 8am–4pm, plus some Saturdays and on-call rotation.

Qualifications

  • 1+ years in a Logistics environment preferred but not required.
  • Experience with Canadian and US customs regulations.
  • General knowledge of warehouse operational processes is an asset.
  • Experience with NAV-based ERP, TMS and broker systems (Willson/Farrow) preferred.
  • Proficiency with ERP, KPI Portals and Microsoft Office (Excel/Nav).
  • High confidentiality and integrity.
  • Strong interpersonal and cross-functional collaboration.
  • Excellent communication and written skills.
  • Valid driver’s license with access to personal vehicle as needed.
  • Strong attention to detail and accuracy.
  • Good time management in a fast-paced setting.
  • Flexibility to work weekends and extended hours.

Responsibilities

  • Schedule all delivery appointments for customer deliveries.
  • Track and trace freight updates in the TMS system.
  • Communicate with carriers/brokers and internal teams.
  • Investigate and resolve shipment/delivery issues.
  • Verify and process rate documentation promptly.
  • Ensure compliance with required documentation.
  • Assist with customs submissions for cross-border shipments.
  • Support team in a collaborative environment.
  • Perform general admin tasks (copying, filing, scanning).
  • Adhere to Health, Food Safety, Bio Security and company policies.

We are currently looking to fill a full-time, permanent position for a Logistics Administrator in our Logistics Department at our Leamington facility.

What You'll Do:
  • Request and schedule all delivery appointments for customer deliveries.
  • Manage, track and trace freight updates in the company TMS system.
  • Communicate in a prompt and professional manner with carriers/brokers and internal team members.
  • Investigate and resolve shipment/delivery issues that may occur.
  • Ensure rate documentation is verified and processed promptly in the appropriate systems.
  • Meet legal compliance requirements for all documentation and ensure it is completed according to company requirements in an accurate and timely manner.
  • Assist with customs preparations and submissions for cross border shipments.
  • Willing to help in a collaborative team atmosphere when other team members are away or in need of assistance.
  • Perform administrative tasks such as copying, filing, faxing, and scanning documents.

What You Bring:
  • 1+ years of previous experience in a Logistics environment is preferred but not required.
  • 1+ years working experience/knowledge of Canadian and US customs regulations.
  • Possessing a general knowledge of warehouse operational processes is an asset.
  • Experience with NAV based ERP, TMS (Truck Management System) and Willson and/or Farrow (Broker System) are preferred.
  • Proficiency in working with computers and software programs, specifically ERP, KPI Portals and Microsoft Office more specifically Excel and Nav.
  • Very high degree of confidentiality and integrity required regarding all aspects of the business.
  • Good interpersonal skills: ability to work collaboratively on cross-functional teams and external parties.
  • Exceptional communication abilities, active listening skills and written communication skills.
  • Valid driver's license and use of personal vehicle are required as needed.
  • Excellent attention to detail and accuracy.
  • Strong time management skills and ability to meet deadlines within in a fast-paced environment.
  • Must be available to work flexible hours including weekends and extended hours if needed.
  • Displays strong initiative and able to work independently with little direction, within a fast-paced environment.
  • Excellent organizational and multitasking skills.
  • Team player with a high level of dedication.
  • Must be strong with follow through as many tasks require constant follow-up.
What To Expect:
  • This position works in an office setting in a collaborative team environment located in fast paced warehouse environment where temperatures vary from cooler to temperature-controlled areas.
  • Working with minimal supervision but also communicating with different individuals and teams across our facilities and from external organizations.
  • Full time hours Monday-Friday 8am-4pm, some Saturdays and on-call rotation
