Job summary

The Liaison Officer at City of Regina provides administrative, coordination, and customer service support for inquiries from City Council, residents, and stakeholders. This role tracks inquiries, coordinates information, maintains records, and supports timely responses within the Office of the City Clerk.

Regular in-person work at City facilities is required, with occasional extended hours for council-related events.

Qualifications

  • Advanced proficiency with Microsoft Office applications, including Microsoft Excel, and experience utilizing reporting, tracking, databases, CRM, and information management systems.
  • Sound judgment, discretion, and the ability to maintain confidentiality while handling sensitive inquiries, records, and administrative matters.

  • Coordinates meeting logistics, materials, documentation, and follow-up activities as assigned.

POSITION SUMMARY:

The Liaison Officer provides administrative, coordination, and customer service support related to inquiries, requests, and concerns received from City Council, residents, stakeholders, and Administration.

The position assists with tracking inquiries, coordinating information, maintaining records, supporting timely responses, and providing administrative and operational support within the Office of the City Clerk.

DUTIES AND RESPONSIBILITIES:
Key Accountabilities
Inquiry Coordination and Customer Service
  • Serves as a primary point of contact for inquiries, requests, concerns, and service-related matters received from City Council, residents, stakeholders, and Administration.
  • Receives, tracks, prioritizes, and coordinates inquiries to support timely responses and appropriate follow-up.
  • Maintains inquiry tracking systems, records, correspondence, and related documentation.
  • Assists with preparing responses, reports, and information requested by internal and external stakeholders.
Administrative and Operational Support
  • Provides administrative and coordination support for meetings, committees, stakeholder engagements, and special projects.
  • Coordinates meeting logistics, materials, documentation, and follow-up activities as assigned.
  • Prepares and maintains reports, spreadsheets, presentations, records, and other administrative documents.
  • Supports office operations through effective organization, record maintenance, and service continuity activities.
Collaboration and Service Excellence
  • Builds and maintains positive working relationships with City Council, Administration, residents, stakeholders, and community partners.
  • Provides information regarding processes, procedures, and service expectations in a professional and customer-focused manner.
  • Contributes to continuous improvement initiatives that support effective service delivery and operational efficiency.
  • Maintains confidentiality and professionalism when handling sensitive information and inquiries.
QUALIFICATIONS:
Knowledge, Skills and Abilities
  • Exceptional written and verbal communication skills, with the ability to communicate professionally and effectively with elected officials, Administration, residents, stakeholders, and the public.
  • Excellent customer service, organizational, time management, and coordination skills, with the ability to manage competing priorities, triage inquiries, meet deadlines, and maintain accuracy in a fast-paced environment.
  • Advanced proficiency with Microsoft Office applications, including Microsoft Excel, and experience utilizing reporting, tracking, databases, CRM, and information management systems.
  • Sound judgment, discretion, and the ability to maintain confidentiality while handling sensitive inquiries, records, and administrative matters.

The position operates in a dynamic environment where inquiries vary in complexity, urgency, sensitivity, and potential impact. The role requires sound judgment to prioritize work, coordinate information and support matters through resolution.

The successful candidate will be expected to:

  • Assess, prioritize, and triage inquiries while determining appropriate follow-up actions and escalation requirements.
  • Manage competing priorities, changing deadlines, and stakeholder expectations.
  • Coordinate responses involving multiple business areas and monitor ongoing matters to ensure timely follow-through.

  • The position contributes to a collaborative team environment by participating in knowledge sharing, cross-training, and service continuity activities.
  • Provides reciprocal backup coverage for administrative support functions and supports a team-based approach to service delivery.
  • There is no formal responsibility for supervision of employees.
Physical, Visual, Auditory and Concentration Demands (PVAC)
  • The nature of this work involves frequent interruptions, competing priorities, and changing demands.
  • Requires sustained concentration while reviewing correspondence, coordinating responses, tracking inquiries, and maintaining records.
  • Higher-than-typical visual and concentration demands may occur when reviewing detailed information, reports, meeting materials, and correspondence.
Environmental Working Conditions
  • Regular in-person presence is required; the majority of work is undertaken in City facilities
  • The role will require occasional extended work hours to support evening meetings and Council-related events, Municipal Elections, Referendums and By-elections, etc. This is a standard and expected component of supporting City Councillors and the Office of the City Clerk.
  • Regular interaction with elected officials, senior leadership, Administration, residents, and stakeholders is required.

  • Successful candidates may be required to provide a satisfactory criminal record check per the City of Regina's Criminal Record Check Policy.
  • Proof of education is required.
  • Additional assessments may be conducted to evaluate competencies, skills, and knowledge.
