Osler, Hoskin & Harcourt LLP is one of Canada's leading business law firms, advising many of Canada's corporate leaders, U.S., and international parties with extensive interest in Canada. Our firm has over 1,000 members based in Toronto, Montréal, Ottawa, Vancouver, Calgary, and New York.

We are currently recruiting for a Legal Assistant (LA) in our Employment & Labour Department. The LA will proactively and independently manage the practices of multiple Legal Professionals, providing high-level support to enhance practice efficiency. The ideal candidate will have excellent multi-tasking, administrative, and communication skills, demonstrate initiative, work well in a fast-paced environment, and provide excellent client service. Employment & Labour experience is preferred.

Major Responsibilities and Duties
  • Manage the LP’s inbox by monitoring and responding to emails to stay current on file developments.
  • Maintain the LP’s calendar, organize appointments and meetings, arrange facilities, AV/hospitality, prepare agendas, coordinate attendees, and keep LPs informed of issues. Book travel arrangements as needed.
  • Serve as point of contact with clients and internal/external stakeholders to provide assistance and information.
  • Administer client accounts by ensuring time charges are submitted, following up on delinquent charges, reviewing and editing prebills, preparing invoices, verifying fees/disbursements, and addressing client inquiries.
  • Support client development activities, such as managing LP bios and updating client relationship databases.
  • Manage new file setup, including gathering information for client intake, workspace management, and creating/managing files in the document management system.
  • Coordinate document workflow including drafting, formatting, finalizing, and distributing documents and correspondence.
  • Research, prepare for, and follow up on audit inquiries.
  • Perform other duties as required to support firm objectives.
Position Requirements

Education and Experience: Completion of a Community College diploma in Office, Legal, or Business Administration plus at least three years of experience in a professional services or legal environment. An equivalent combination of education, training, and experience may be considered.

Knowledge and Skills: Maintain high discretion and confidentiality; excellent attention to detail; strong written and verbal communication; proficiency in MS Office; organizational and time management skills; ability to adapt to changing priorities; teamwork and initiative; legal procedures knowledge; drafting and proofreading skills.

We currently operate under a hybrid work model, primarily in-office with the flexibility to work remotely up to 2 days per week.
