Qualifications

  • 2–5+ years of experience as a legal administrative assistant
  • Previous litigation experience
  • Superior organizational and document management skills with meticulous attention to detail
  • Advanced knowledge of software and systems
  • Advanced knowledge of database management
  • Proficient with MS Word, MS Excel, Outlook, Internet and legal timekeeping/case management tools
  • Understanding of Automated Civil Litigation (ACL)
  • Advanced knowledge of litigation process and court rules/procedures across jurisdictions

Responsibilities

  • Assist with coverage of other Legal Assistants when away from the office
  • Assist with excess work when scheduling permits
  • Draft clear, concise oral and written information; drafts correspondence and legal documents
  • Maintain calendar, file opening/closing, appointments, and bring forwards
  • Transcribe dictations and perform complex editing/formatting of documents
  • Arrange examinations for discovery, hearings, mediations, arbitrations and trial dates
  • Manage high work volume and priorities while supporting a demanding practice
  • Prepare, serve, and file court documents; ensure deadlines are met

Singleton Reynolds is currently looking for a versatile Legal Administrative Assistant Floater to join our Vancouver office. The position requires 2 to 5+ years’ experience. The successful candidate will work closely with a professional team of Lawyers and Paralegals and will be responsible for a wide array of legal administrative tasks.

THE ROLE
  • Assist with coverage of other Legal Assistants who are away from the office;
  • Assist other Legal Assistants with excess work when scheduling permits;
  • Provides clear, concise and complete oral and written information;
  • Drafts correspondence and legal documents;
  • Maintains all administrative functions, including file opening/closing procedures, maintains the calendar, books appointments and manages bring forwards;
  • Transcribing dictations;
  • Performs complex editing and formatting of documents for various correspondence, reports, forms and spreadsheets;
  • Arranges examinations for discovery, hearings, mediations, arbitrations and trial dates;
  • Manages work volume and juggling priorities while supporting a demanding practice;
  • Manages a high volume of paper correspondence;
  • Preparing, serving, and filing court documents;
  • Ensures deadlines are met and limitation dates are adhered to;
  • Completes time entries and billings;
  • Sorts incoming mail and preparation of outgoing mail;
  • Performs other related duties as required.
KEY QUALIFICATIONS & EXPERIENCE
  • 2-5+ years of experience working as a legal administrative assistant;
  • Previous litigation experience;
  • Superior organizational/document management skills with a strong attention to detail;
  • Exceptional aptitude for software and systems;
  • Advanced knowledge of database management;
  • Computer knowledge including: MS Word, MS Excel, Outlook, Internet, Case Management Software, and Time tracker software;
  • Understanding of Automated Civil Litigation (ACL);
  • Advanced knowledge of the litigation process and court rules/procedures in various jurisdictions.
