Who You Are:

We're looking for an Intermediate Legal Administrative Assistant with 2-4 years of experience, primarily in civil litigation. You thrive in a fast-paced environment, are solutions-focused, and love collaborating with others. You’ll be an essential part of our team, helping us deliver top-tier legal support to our clients while managing critical tasks like drafting correspondence, preparing legal documents, and handling client communications.

Your Key Responsibilities:

  • Draft clear and concise legal correspondence and documents based on general guidelines.
  • Organize, prepare, and serve the List of Documents and List of Disbursements.
  • Coordinate smooth file transfers and ensure accurate document management.
  • Compile and organize Application Records for court proceedings.
  • Communicate professionally and effectively with clients, keeping them informed and engaged.
  • Prepare, format, proofread, and file legal documents, whether from dictation, notes, or templates.
  • Manage lawyer calendars, appointments, deadlines, and scheduling with attention to detail.
  • Maintain an organized system for tracking important deadlines and follow-up dates.
  • Serve as a key point of contact, communicating with clients, courts, opposing counsel, adjusters, and other parties.
  • Schedule trials, conferences, discoveries, hearings, and mediations in estate litigation and personal injury cases.
  • Conduct Land Title, Wills, and Probate searches specific to estate litigation matters.
  • Assist with Part VII funding requests and reimbursement processes (personal injury).
  • Organize and schedule medical appointments, prepare instructions for experts, and manage relevant documentation.
  • Serve expert reports and keep clients informed about key dates and meetings.
  • Open, organize, and maintain accurate files, records, and reports.
  • Process payments, handle cheques, and manage invoices efficiently.
  • Manage document scanning, photocopying, and handling incoming and outgoing mail and emails.
  • Prepare retainer agreements and other legal contracts.
  • Assist with document production and records requests as needed.
  • Help prepare for trials and mediations with proactive organization and support.
  • Set and achieve annual personal and team goals.
  • Provide backup support for intake and other administrative tasks.
  • Mentor, coach, and train junior Legal Administrative Assistants on procedures and standards.
  • Step in for vacation coverage when needed to support the team.
  • Perform other administrative tasks as assigned by lawyers.

What You Bring:

  • Experience: You have 2-4 years of experience as a Legal Assistant, mainly in civil litigation, with a solid grasp of legal procedures and documentation. You're comfortable managing important dates and deadlines independently. Experience in Estate and Commercial Litigation considered an asset.
  • Tech Skills: You’re proficient with Microsoft Office, Excel, Outlook, and other legal software. Experience with Filevine is a bonus!
  • Thrives Under Pressure: You excel in fast-paced environments and are confident in meeting weekly targets while handling multiple priorities.
  • Organized & Deadline-Oriented: Your prioritization skills are top-notch, allowing you to handle tight deadlines without missing a beat.
