Job summary

eQ Homes in Ottawa is seeking a Leasing Agent for a one-year contract to be the first contact for prospective residents, conduct property tours, and manage leasing communications from inquiry to executed lease.

You will maintain leasing records in DashQ, HubSpot and Yardi, prepare applications and contracts, and coordinate with Marketing and Product teams. Strong sales, organization and customer-service skills are required.

Qualifications

• 1–2 years experience in residential leasing, real estate, property management or customer-facing sales.
• Knowledge of real estate sales and leasing processes is an asset.
• Excellent written and verbal communication skills.
• Strong organizational, time-management and administrative skills.
• Proficient in Microsoft Office (Word, Excel, Outlook).
• DashQ, HubSpot, Yardi, RentCafe or Newstar experience is an asset.
• Ability to work independently and as part of a leasing team.

Responsibilities

• Maintain a professional and welcoming leasing centre and reception area.
• Greet, qualify and register prospects and visitors.
• Respond promptly to telephone, email and other prospect inquiries with accurate information.
• Conduct tours of available suites, amenities and common areas.
• Follow up with prospects to support conversion from inquiry through application and lease.
• Maintain accurate prospect information, activity and follow-up in DashQ and HubSpot.
• Maintain accurate leasing information in Yardi, RentCafe and other platforms.
• Prepare, review and issue applications, lease agreements and related documentation.
• Ensure lease packages, contracts, addendums and deposits are complete and recorded.
• Maintain leasing files, traffic reports and monthly leasing/conversion reports.
• Assist with market analysis of rental rates, availability and incentives.
• Provide updates to Director of Leasing on activity and market conditions.
• Coordinate leasing and marketing materials with Marketing and Product teams.

About the Role:

As a Leasing Agent, you will be the first point of contact for prospective residents, delivering an exceptional customer experience from inquiry to signed lease. You'll conduct property tours, manage prospect communications, maintain leasing records, and support leasing initiatives that help drive occupancy and resident satisfaction. We're looking for a customer-focused professional with strong sales and relationship-building skills who thrives in a fast-paced environment

Key Responsibilities:

• Maintain a professional and welcoming leasing centre and reception area.

• Conduct tours of available suites, amenities and common areas.
• Follow up with prospects to support conversion from inquiry through application and executed lease.
• Maintain accurate prospect information, activity and follow-up in DashQ and HubSpot.
• Maintain accurate leasing information in Yardi, RentCafe and other applicable leasing platforms.
• Prepare, review and issue applications, lease agreements and related documentation for signature.
• Ensure lease packages, contracts, addendums and required deposits are complete and properly recorded.
• Maintain accurate leasing files, daily traffic reports and monthly leasing and conversion reports.
• Assist with quarterly competitive market analysis, including rental rates, availability and incentives.
• Provide the Director of Leasing with updates on leasing activity, prospect feedback, availability and market conditions.
• Assist with planning and coordinating leasing events and prospect engagement initiatives.
• Coordinate leasing and marketing materials with the Marketing and Product teams.
• Participate in leasing team meetings as required.
  

About You:

• Minimum 1-2 years experience in residential leasing, real estate, property management or a customer-facing sales environment
• Post-secondary education or suitable professional training and experience
• Knowledge of the real estate sales and leasing processes is an asset
• Excellent written and verbal communication skills.
• Strong organizational, time-management and administrative skills.
• Proficient in Microsoft Office, including Word, Excel and Outlook.
• Experience with DashQ, HubSpot, Yardi, RentCafe or Newstar is considered an asset.
• Ability to work independently and effectively as part of a leasing team.
