Job summary

Yukon University is seeking an IT Office Coordinator at the Ayamdigut campus in Whitehorse to support IT Services operations. This full-time, permanent role focuses on procurement, travel documentation, inventory, and office logistics to ensure daily IT activities run smoothly.

You will coordinate IT projects, maintain documentation and asset inventories, and act as a central liaison between IT staff, other YukonU departments, and external vendors.

  • Experience with IT or higher-education environments is a plus.

Responsibilities

  • Coordinate administrative operations for IT Services, including procurement requests, travel docs, expense submissions, inventory tracking, and office logistics.
  • Support IT project coordination by tracking timelines, deliverables, action items, and follow-ups; prepare status updates and reports for IT leadership.
  • Maintain IT documentation, records, and asset inventories, including software licensing, contracts, renewal schedules, and SOPs.
  • Serve as central point of coordination and communication between IT staff, YukonU departments, and external vendors for timely information flow.
  • Support onboarding and hiring activities, divisional initiatives, meetings, events, and provide backup HelpDesk support as required.

We are seeking a highly organized and proactive IT Office Coordinator to support the effective operation of the IT Services division. This role plays a key administrative and coordination function within IT Services, ensuring smooth day-to-day operations, clear communication, and continuity between technical teams, vendors, and the broader University community. As the IT Office Coordinator, you will:
  • Coordinate administrative operations for the IT Services division, including procurement requests, travel documentation, expense submissions, inventory tracking, and office logistics to support daily operations.
  • Support IT project coordination by tracking timelines, deliverables, action items, and follow‑ups, and preparing status updates and reports for IT leadership.
  • Maintain IT documentation, records, and asset inventories, including software licensing, contracts, renewal schedules, and standard operating procedures.
  • Serve as a central point of coordination and communication between IT staff, other YukonU departments, and external vendors to ensure timely information flow.
  • Support onboarding and hiring activities, divisional initiatives, meetings, events, and provide backup administrative or HelpDesk support as required.
Qualifications
  • A diploma or degree in business administration, computing sciences, or a related field, or an equivalent combination of education and experience.
  • 2–4 years of relevant experience in office administration, project coordination, or operational support roles.
  • Strong organizational, time-management, and multitasking skills, with the ability to manage competing priorities and meet deadlines.
  • Proficiency with Microsoft Office, Teams, SharePoint, and other enterprise productivity tools.
  • Excellent written and verbal communication skills, attention to detail, and the ability to handle confidential information professionally.
Assets
  • Experience in an IT or higher‑education environment
  • ITIL 4 Foundations certification
  • Familiarity with tools such as Jira or Confluence.

This position is primarily office‑based at the Ayamdigut campus, with extended computer use and frequent coordination activities. Occasional lifting of IT equipment (10–30 lbs), shifting priorities, and critical deadlines are part of the role. Limited travel may be required (approximately one trip annually).
