Job summary

EQ Bank in Toronto is offering an Office Experience & Facilities Intern role for January 2027. The intern will aid facilities operations, workplace projects, and office administration in a fast-paced financial services setting.

You will assist with daily office operations, coordinate with vendors, and support 25 Ontario readiness efforts, gaining exposure to project coordination and space management in a hybrid work model.

Qualifications

  • Currently enrolled in a university program related to Business Administration, Facilities Management, Hospitality, Human Resources, Interior Design, Architecture, Workplace Experience, or a related field.
  • Strong customer service and communication skills.
  • Proficient with Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, and Teams.
  • Strong organizational and time management skills.
  • Ability to work independently and manage multiple priorities.
  • Detail-oriented with excellent problem-solving abilities.
  • Positive attitude with a willingness to learn and contribute.
  • Experience with CAD, floor planning software, graphic design, or project coordination is considered an asset but is not required.

Responsibilities

  • Assist with daily facilities operations across the office portfolio, ensuring workspaces, meeting rooms, and common areas are maintained to standards.
  • Coordinate service requests with building management, contractors, and vendors and track issues through to resolution.
  • Assist with inventory management of workplace supplies, furniture, equipment, and storage areas.
  • Support desk, locker, and space management initiatives.
  • Maintain facilities documentation, inventories, floor plans, asset records, and workplace databases.
  • Assist with health and safety inspections, emergency preparedness initiatives, and compliance activities.
  • Conduct furniture and workspace audits and assist with move planning activities.
  • Coordinate project documentation, meeting notes, action logs, schedules, and stakeholder communications.

Work Term: January 2027 (4, 8 or 12months)

The Office Experience & Facilities Intern supports the Office Experience team by assisting with facilities operations, workplace projects, office administration, and workplace planning initiatives. The role offers hands‑on exposure to corporate facilities management, project coordination, workplace strategy, vendor management, and office operations within a fast‑paced financial services environment.


A key focus of this role will be supporting major workplace initiatives, including the completion and ongoing optimization of the 25 Ontario office environment, while ensuring day-to-day facilities operations are delivered efficiently and effectively.


The Core Responsibilities of the Job

Facilities Operations & Workplace Management


  • Assist with daily facilities operations across the office portfolio, ensuring workspaces, meeting rooms, and common areas are maintained to organizational standards.

  • Conduct workplace inspections and facility walkthroughs to identify maintenance, cleanliness, safety, and operational concerns.

  • Coordinate service requests with building management, contractors, and vendors and track issues through to resolution.

  • Assist with inventory management of workplace supplies, furniture, equipment, and storage areas.

  • Support desk, locker, and space management initiatives.

  • Maintain facilities documentation, inventories, floor plans, asset records, and workplace databases.

  • Assist with health and safety inspections, emergency preparedness initiatives, and compliance activities.

  • Responsible for providing general support and completing miscellaneous tasks and projects as needed.

  • Performs other duties as assigned.


Project Coordination & 25 Ontario Readiness


  • Support workplace projects including office moves, restacks, renovations, occupancy planning, and workplace improvement initiatives.

  • Assist the Office Experience & Facilities team with the successful completion of the 25 Ontario workplace transformation and ongoing post-occupancy activities.

  • Coordinate project documentation, meeting notes, action logs, schedules, and stakeholder communications.

  • Conduct furniture and workspace audits and assist with move planning activities.

  • Assist with vendor coordination, project tracking, deficiency management, and project closeout activities.

  • Support floor plan reviews, workplace utilization exercises, seating assignments, and workplace readiness assessments.

  • Assist with collecting project data, preparing reports, and monitoring project milestones.


Administrative Support


  • Assist with invoice tracking, purchase requisitions, procurement documentation, and vendor records.

  • Support mailroom operations, courier coordination, filing, scanning, and records management.

  • Maintain spreadsheets, dashboards, service logs, project trackers, and departmental reports.

  • Assist with presentation development and creation of workplace documentation, guides, and procedures.

  • Support project-based opportunities that align with the intern’s relevant academic program, skill set, and learning objectives, where applicable.

  • Provide administrative support for department initiatives and special projects as required.
