Reliable Dairy / 705 Foods in Northern Ontario is seeking an Inside Sales/Administrative Assistant to support sales, invoicing, and operational tasks.

You will build relationships with customers, process orders by phone/text/email, coordinate deliveries, manage invoices, and assist with inventory using Odoo ERP. Strong communication and organization are essential in this role.

Qualifications

• Proficiency in QuickBooks with invoicing, payment tracking and general accounting tasks.
• Experience with Odoo ERP/Inventory Management is a strong asset.
• Strong verbal and written English communication with customers, drivers, suppliers, and team members.
• Highly dependable, organized and able to work independently with multiple priorities in a fast-paced environment.
• Strong attention to detail and accuracy.
• Experience in distribution, wholesale, food service or dairy-related environment is an asset.
• Must have access to a reliable vehicle to make bank deposits at end of shift.

Responsibilities

• Plan and schedule delivery routes for three drivers to optimize service levels.
• Monitor inventory records in the Odoo ERP system for accuracy and stock availability.
• Track refrigeration and freezer equipment inventory and maintenance schedules.
• Collaborate with outside sales to support customer needs and drive growth.
• Assist with general administrative tasks to support daily operations.

Northern Ontario.

Responsibilities:

• Build and maintain strong, professional relationships with existing and prospective customers.

• Manage incoming calls and effectively resolve customer questions, concerns, and service issues.
• Coordinate the ordering and replenishment of milk products and operational supplies to maintain adequate inventory levels.
• Generate and process invoices, monitor accounts receivable, track payments, and prepare bank deposits.
• Review and prepare customer orders for warehouse picking and fulfillment.
• Oversee daily order-picking activities to ensure accuracy, efficiency, and timely completion.
• Plan and schedule delivery routes for a fleet of three drivers, optimizing service levels and delivery efficiency.
• Monitor and maintain inventory records using the Odoo ERP system, ensuring data accuracy and stock availability.
• Track and manage refrigeration and freezer equipment inventory, maintenance schedules, and operational status.
• Collaborate closely with the outside sales team to support customer needs, coordinate account activities, and drive business growth.
• Assist with general administrative and operational tasks to support daily business operations and customer satisfaction.

Requirements:

• Proficiency in QuickBooks, with experience in invoicing, payment tracking, and general accounting functions.
• Experience with Odoo ERP/Inventory Management Software is considered a strong asset.
• Strong verbal and written communication skills in English, with the ability to interact professionally with customers, drivers, suppliers, and team members.
• Highly dependable, organized, and self-motivated, with the ability to work independently and manage multiple priorities in a fast-paced environment.
• Strong attention to detail and a commitment to accuracy.
• Experience working in a distribution, wholesale, food service, or dairy-related environment is an asset.
