Job summary

Accenture Infrastructure & Capital Projects seeks a Document Control Consultant to provide leadership in documentation, governance, and information management across major capital programs.

You will oversee document control processes, retention, archiving, and tool implementation, coordinating across engineers, project managers, and IT teams. Hybrid Vancouver-based role with flexible in-person collaboration.

Qualifications

  • Minimum 15 years of experience in Document Management in a leadership or supervisory role in engineering and construction.
  • High School Diploma or GED or equivalent work experience.
  • Holding recognized industry accreditations including AIIM, CIP.

  • Provide document and information management expertise to support development, implementation, administration, and continual improvement of document control and information governance processes throughout the project lifecycle.

(Internal Title: Document Control IV)

  • Provide document and information management expertise and resources to support the development, implementation, administration, and continual improvement of document control, records management, and information governance processes throughout the project lifecycle.
  • Provide document control, records management, document retrieval, transmittal management, workflow administration, information management, records retention, archiving, and related support services to ensure project information is accessible, accurate, traceable, and maintained in accordance with project and organizational requirements.
  • Provide historical records research, document retrieval, records consolidation, archiving, information governance, and records management support.
  • Lead the application of document control methods, techniques, and tools
  • Establish and manage the framework for identifying, collecting, distributing, and filing controlled documents. This involves developing, maintaining, and improving document control procedures and participating in the development and roll‑out of various document control tools and templates
  • Oversee the implementation of document numbering and file naming standards (or similar) aligning with the established policies and governance procedures
  • Develop and implement the document distribution list that identifies participants involved in document reviews
  • Own the document control process workflows that will form part of the overall procedure
  • Ensure the information and management control system is implemented in compliance with the established standard and is updated to reflect revisions to those standards
  • Maintain awareness of new initiatives that may impact the control or distribution of information
  • Provide team members with adequate training and support to enable them to successfully use the procedure and systems in use
  • Facilitate meetings to follow up on the reviews of outstanding documentation
  • Conduct “spot audits” and “over‑the‑shoulder‑reviews” of teams to proactively monitor and enhance their understanding of document control procedures
  • Manage and mentor direct reports
  • Oversee quality assurance and control audits of project documentation
  • Interface with IT on document control issues, which include process enhancements to existing software and recommendations for new hardware or software
  • Forecast and identify trends and rollout “best practices”
  • Collaborate with other disciplines to ensure all controlled documentation is processed as per the established schedule
  • Engage with the team to address areas of concern and ensure continuous improvement in developed procedures, including training and knowledge transfer
  • Outline the human and material resources required to complete document control services successfully
  • Exercise authority in managing work and controlling the delivery of the project per the established plan
  • Monitor staff performance to ensure excellence and adherence to specified deadlines
  • Define success criteria and disseminate them to involved parties
  • Set and interpret project and program expectations while delegating and managing the deliverables of team members and stakeholders
WORKING CONDITIONS
  • Hybrid (Vancouver 4 days/week, Remote 1 day/week)

  • Minimum of 15 years of experience in Document Management in a leadership or supervisory role, in an engineering and construction environment
  • High School Diploma or General Education Development certificate or relevant work experience
  • Holding recognized and relevant industry accreditations including AIIM, CIP
BONUS POINTS IF YOU HAVE:
  • Advanced knowledge of document control procedures and filing and record retention systems
  • Mastery of Electronic Document Management Systems (EDMS) such as Microsoft SharePoint, ProjectWise, Microsoft Office, Aconex, or any relevant document control software.
  • Must keep abreast of emerging document control software
  • Demonstrated experience with assembling controlled documentation for programs and projects
  • Ability to arrange priorities and elevate competing risks to meet deadlines
  • Keen eye for detail and adept problem‑solving abilities
  • Must have demonstrated experience relaying and receiving information (written and verbal)
  • Expert ability to work collaboratively and independently in a structured, disciplined, technology‑driven environment
  • Great people skills and ability to communicate effectively with a variety of internal and external stakeholders
  • Effectively lead a large multi‑resource document control team
  • Ability to work creatively and analytically in a problem‑solving environment by ensuring effective teamwork, promotion of innovation, and overall excellence
  • Demonstrated functional acumen to support how solutions will address established goals while maintaining alignment with industry best practices
  • Expert ability to detect and capitalize and be sensitive to others’ strengths
