Position Overview

The Government of Nova Scotia is seeking an experienced Information Specialist (Clerk 3 ADM04) to support the Safety Branch within the Department of Labour, Skills and Immigration. This role plays a critical part in maintaining service levels by ensuring inquiries received through the provincial 1-800 Occupational Health & Safety (OHS) service are addressed promptly, accurately, and professionally.

The successful candidate will provide information and administrative support to employers, stakeholders, workers, and the general public while assisting with daily office operations and maintaining departmental records and documentation.

Key Responsibilities
  • Respond to and manage inquiries received through the 1-800 Occupational Health & Safety service line.
  • Provide accurate information and guidance to employers, stakeholders, and members of the public.
  • Review, prepare, and verify documents, records, and correspondence.
  • Maintain and organize departmental files, records, and databases.
  • Assist with inventory tracking and administrative coordination.
  • Support the distribution and management of inter-office communications and mail.
  • Apply established policies, procedures, and guidelines while exercising sound judgment when handling exceptions.
  • Assist in coordinating daily office operations and administrative activities.
  • Prepare reports, summaries, and other administrative documentation as required.
  • Collaborate with internal teams to ensure efficient service delivery and operational effectiveness.
Required Qualifications
  • Grade XI education plus four (4) years of related administrative, customer service, information services, or office support experience, or an equivalent combination of education, training, and experience.
  • Strong verbal and written communication skills.
  • Excellent customer service and stakeholder engagement abilities.
  • Proven ability to exercise judgment and make decisions within established guidelines.
  • Experience managing multiple priorities in a fast-paced environment.
  • Strong organizational and record-management skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and related office software.
Preferred Qualifications
  • Experience working in a government, regulatory, safety, or public service environment.
  • Knowledge of Occupational Health & Safety programs, policies, or legislation.
  • Experience handling high-volume inquiries through phone and email channels.
