Position Purpose And Summary

As a key academic management unit, TWU’s Office of the Registrar is responsible for all student records, including student financial accounts, course registration, course scheduling, classroom scheduling, academic calendar, transfer credit, graduation audits, official transcripts, degree parchments, and verification of enrollment letters.

As a key academic management unit, TWU’s Office of the Registrar is responsible for all student records, including student financial accounts, course registration, course scheduling, classroom scheduling, academic calendar, transfer credit, graduation audits, official transcripts, degree parchments, and verification of enrollment letters.

Reporting to the Assistant Registrar of Student Finances, the Information & Operations Coordinator (IOC) provides administrative, operational, and technical support to the Office of the Registrar with a focus on student finances. The IOC is a subject matter expert on the various platforms and information systems used by the Office of the Registrar and Service Hub to support student success by streamlining processes and improving the use of these systems (Jenzabar, Team Dynamix, Salesforce, Aqueduct, etc.). Responsible for providing support to Service Specialists working in the Office of the Registrar and the Service Hub, and assisting in resolving escalated student issues with the goal of providing professional and student-focused services. Special projects may be assigned as needed.

Key Areas of Accountability

  • Monitor student accounts and streamline the processes involved in providing good financial services to students. Train Service Specialists to provide quality, timely, and accurate registration and financial services for students.
  • Coordinate data management operations for the student finances platforms, including ensuring accuracy of data entry and use. Analyze, interpret, and report on program data to support departmental and institutional assessments.
  • Maintain a thorough knowledge of the portfolio of services, systems, and products.
  • Provide support to Service Specialists and other staff in the University with the goal of providing excellent service to students. Work with the leaders in the Office of the Registrar and Service Hub to receive and resolve escalated situations.
  • Collaborative Partnership Building: Work with the senior leaders in the Office of the Registrar and Service Hub, Financial Aid, Housing, and other areas to provide integrated solutions and resolve escalated situations.
  • Consistently seek to provide all stakeholders with world-class service, seeking integrated solutions as efficiently as possible, in a humble and effective manner.
  • Act in a manner that exemplifies Jesus Christ in all on and off campus contacts, thereby living out the mission of the University and displaying servant leadership.

Skills And Abilities

  • Excellent interpersonal, organizational, and communication skills with people from different backgrounds and cultures. Experienced and effective in conflict resolution.
  • Strong financial and analytical skills, including a background in accounting or bookkeeping, management of accounts, and similar fields of work.
  • Willing and able to learn new technology as continuously improving one’s skills and abilities. Strong computer skills, including word processing, and proven experience with large databases and MS Office tools, particularly Excel spreadsheets.
  • Proven team-building and time management skills.
  • Ability to manage and control information through the use of computer software and to analyze data.
  • Strong organizational, problem-solving, and sound decision-making abilities.
  • Demonstrated ability to work well in a high-volume environment and fulfil the demands of the position at peak periods (e.g., registration periods, payment deadlines, and financial audits).

Standards & Requirements

Education: Bachelor’s Degree or equivalent required.

Experience: 2 years required in office settings which includes basic supervisory responsibilities. Experience in higher education and experience in working with international students is an asset.

Duties and responsibilities that do not constitute a major change may be added, deleted or changed at any time at the discretion of the supervisor either orally or in writing.
