New Directions Aromatics Inc. (NDA) is seeking a hands-on HR Generalist to support the full employee lifecycle across the organization. You will handle recruitment, onboarding and offboarding, employee relations, benefits administration, training, and HR analytics.

You will drive policy guidance, maintain accurate records, and partner with the HR Director to elevate processes, SOPs, and compliance initiatives in a fast-paced environment.

Qualifications

  • Post secondary education in Human Resources, Business Administration, or a related field.
  • 3-7 years of direct experience in an HR support/service role or generalist function.
  • CHRP certification will be an asset.
  • Proficiency with HR software and Microsoft Office (Excel and Outlook).
  • Solid understanding of employment laws and HR best practices.
  • Strong analytical skills with the ability to prepare and interpret HR metrics.

Responsibilities

  • Recruitment: Manage full-cycle recruitment, postings, initial screens, finalist scheduling, and coordinating communications with candidates and managers.
  • Onboarding & Offboarding: Oversee onboarding, orientations, benefits enrollment, and exit processes.
  • Employee Relations & Policy Guidance: Act as a primary contact for inquiries and escalate when needed.
  • Employee Engagement & Communication: Support engagement initiatives and HR communications; analyze survey data.
  • Employee Records & HR Administration: Maintain accurate records; audit files for compliance; ensure responsive administration.
  • Benefits Administration: Oversee enrollments and updates to employee benefits.
  • Training & Compliance: Coordinate online training and ensure compliance with policies.
  • Reporting & HR Analytics: Prepare HR metrics on headcount, turnover, and workforce trends.
  • HR Policy & Process Development: Drive improvements across HR processes and policies.
  • WSIB & Compliance Management: Lead health and safety initiatives and regulatory compliance.

Job description

Summit Search Group has partnered with New Directions Aromatics Inc. (NDA), a leading wholesale supplier of essential oils, natural raw materials, and specialty packaging. They source directly from ethical producers in all six continents, enabling them to offer the largest selection of pure essential oils at accessible prices. Established in 1998, NDA was created with the goal of making a significant contribution to the Essential Oils market. They have expanded their product line to include cosmetic bases developed in-house, as well as fragrances and botanical extracts. NDA is a leading supplier of defining ingredients to the North American health and beauty industries.


Position Scope:


The HR Generalist is a key member of NDA’s Human Resources team and serves as a primary point of contact for employees and managers across the organization. Reporting to the Director of Human Resources, this hands-on role supports the full employee lifecycle and a broad range of HR activities, including employee relations, recruitment, onboarding and offboarding, benefits administration, employee engagement, reporting and analytics, policy development, and health and safety coordination.


The HR Generalist will independently manage day-to-day HR inquiries while exercising sound judgment around when matters require escalation. The role will also proactively identify opportunities to improve HR processes, SOPs and administrative practices through practical efficiencies and cost-effective solutions.


Responsibilities:


Recruitment



  • Manage the full-cycle recruitment process, including confirming job details/intake meetings with hiring managers, posting positions, conducting first screen of candidates, schedule finalist for manager interviews, and coordinating communication with candidates and managers.

  • Coordinate reference and background checks and prepare employment offer documentation.

  • Serve as a first point of contact for staffing agencies supporting warehouse and operational employees, including coordinating employee-related matters with agency partners as required. Coordinate temporary staffing needs with managers.


Onboarding & Offboarding



  • Oversee end-to-end onboarding and offboarding processes, including documentation, orientations, ADP enrollment, benefits administration, and exit processes.

  • Support the administration of HR programs related to training, and employee assistance.


Employee Relations & Policy Guidance



  • Serve as a primary point of contact for employee inquiries regarding HR policies, benefits, and workplace matters. Partner or elevate any workplace concerns to Director Human Resources that may require formal investigation process.

  • Provide initial guidance on HR policies and procedures and elevate complex employee relations matters to Director of Human Resources as appropriate.

  • Assist Director of HR in complaint resolution processes and support labour and employee relations activities as required.

  • Build strong relationships with employees and leaders across both office and operational environments to provide responsive, practical HR support.


Employee Engagement & Communication



  • Actively support and participate in employee engagement initiatives and internal HR communications.

  • Coordinate annual employee survey and support coordination of data analysis and development of actions plans. Review employee engagement data and feedback to identify trends, opportunities, and recommended next steps.

  • Maintain strong relationships with managers and employees to foster a positive work environment.


Employee Records & HR Administration



  • Maintain accurate employee records and HR information systems both electronic files and official HR Files.

  • Conduct regular audits of employee files to ensure compliance with company policies and employment legislation.

  • Support day-to-day HR administration - ensuring accuracy, responsiveness, and effective follow-through.


Benefits Administration



  • Oversee benefits enrollments for new employees and process updates or changes to existing employees’ benefits.


Training & Compliance



  • Coordinate and monitor employee online training programs and HR compliance initiatives.

  • Track completion, escalates non-compliance concerns and maintain proper training records.

  • Support the Director of HR in the coordination of performance review processes and employee development initiatives

  • Support health and safety, and compliance-related initiatives.


Reporting & HR Analytics



  • Prepare HR reports and metrics related to headcount, turnover, employee census, and workforce trends.

  • Assist in the development, review, and implementation of HR policies, procedures, and SOPs.

  • Analyze HR data and workforce trends to provide meaningful insights and support HR and business decision-making.

  • Identify opportunities to improve HR processes and support continuous improvement initiatives.


HR Policy & Process Development



  • Drive continuous improvement across the HR function by reviewing processes, policies, and practices, while ensuring compliance with evolving legislation.


WSIB & Compliance Management



  • Lead health and safety initiatives by managing WSIB claims, supporting JHSC activities, partnering with Operations, and ensuring employee training and regulatory compliance.


Required Skills and Knowledge:



  • Solid understanding of employment laws and HR best practices.

  • Comfortable working across both strategic HR initiatives and hands-on administrative responsibilities.

  • Continuous improvement mindset with an interest in identifying efficiencies and improving HR processes and systems.

  • Strong analytical skills with the ability to prepare and interpret HR metrics and workforce reporting.

  • Demonstrated ability to work independently, exercise sound judgment, and determine when matters require escalation.

  • Proficiency with HR software and Microsoft Office (especially Excel and Outlook).

  • Strong interpersonal and organizational skills.

  • Ability to handle sensitive information with discretion and professionalism.

  • Excellent verbal and written communication skills.

  • Experience with ADP Workforce Now preferred but not essential.

  • Attention to detail in a fast-paced environment is essential.


Education and Experience:



  • Post secondary education in Human Resources, Business Administration, or a related field.

  • 3-7 years of direct experience in an HR support/service role or generalist function.

  • CHRP certification will be an asset.
