Job summary

RFNOW Inc. is seeking a motivated HR Coordinator for a 6-month term position to support day-to-day operations across recruitment, onboarding, benefits, and HR reporting.

You will handle employee records, assist with payroll data entry, and help ensure HR processes align with policies and compliance. Based in Virden, MB, with some option to work from home, this role offers hands-on experience across the HR function, reporting to the Human Resources Manager.

Qualifications

  • Post-secondary education in HR, business admin, or related field.
  • 2–3 years of HR or administrative support experience.
  • CPHR designation or working toward it is an asset.
  • Familiarity with ADP or other HRIS systems is beneficial.

RFNOW Inc. is seeking applications from motivated individuals interested in joining our growing Human Resources Team for a 6-month term position. The successful candidate will support the day-to-day operations of all departments by helping to guide and facilitate their interactions throughout the employment cycle including Recruitment & Selection, Training & Development, Performance Management, Compensation & Benefits, Employee Relations, and Succession Planning.

The HR Coordinator will provide administrative and coordination support to the HR department. This position involves handling employee records, recruitment coordination, onboarding, benefits administration, HR reporting, and other HR functions. The HR Coordinator is a key point of contact for employees and ensures HR procedures and policies are efficiently executed. This is a great opportunity to build hands-on experience across all aspects of HR while covering a defined 6-month term.

This is a 6-month term position, with the possibility of extension based on business needs.

Key Responsibilities:
Recruitment & Onboarding
  • Assist with job postings on job boards and the company website, including posting and refreshing requisitions across various platforms
  • Respond to interested applicants promptly using established email templates; screen resumes to determine eligibility (e.g., Canadian residency and work authorization); schedule interviews and communicate with candidates.
  • Route qualified applicants to the appropriate hiring manager and assist with conducting interviews as required.
  • Coordinate pre-employment checks (e.g., background checks, references) and support the hiring process.
  • Assist with the onboarding process for new hires, including preparing orientation materials, setting up workstations, and ensuring all required documentation is completed.
  • Introduce new hires to company policies and culture.
Documentation & Records
  • Provide administrative support to the HR team, including scheduling meetings, maintaining HR files, and preparing HR documentation.
  • Maintain and update employee records in the HRIS (Human Resources Information System) or other databases.
  • Prepare and distribute HR-related correspondence and forms, including offer letters, employee verification letters, appointment letters, employee agreements, performance review forms, and HR policies.
  • Ensure employee files are maintained in an organized and confidential manner, and that HR records are compliant with relevant legal and company standards.
  • Update employee information, including changes to status, contact details, and benefits.
  • Assist with the enrollment and administration of employee benefits, including health insurance, retirement plans, and wellness programs.
  • Answer employee questions related to benefits programs and assist in resolving issues.
  • Assist in the preparation of payroll by ensuring accurate and timely data entry of employee hours, leaves, and deductions; verify attendance and leave records to ensure correct payroll processing.
Reporting & Spreadsheets
  • Create and maintain Excel spreadsheets
  • Generate and run HR reports as needed,
  • Build comparison spreadsheets for survey results, cost analysis, or other HR initiatives as requested.
  • Track and report on HR projects or initiatives as requested by management.
Training & Development
  • Assist with organizing employee training sessions, seminars, and workshops; help prepare training materials and coordinate logistics.
  • Maintain training records and track employee progress.
  • Assist with building training & development programs as requested.
Employee Relations & Compliance
  • Act as a point of contact for employees regarding HR policies, procedures, and day-to-day HR queries.
  • Help maintain a positive employee relations environment by assisting with conflict resolution or referring employees to appropriate resources.
  • Assist with maintaining compliance with provincial and federal labour laws and regulations, and support the HR team in implementing company policies and procedures to ensure consistency and legal compliance.
Other Duties
  • Participate in committees as assigned
  • Represent RFNOW Inc. at career and job fairs as required.
  • Assist with order inquiries and related coordination tasks as assigned
  • Perform other duties as assigned, including gathering information and contacting employees on HR-related matters.
Qualifications:
  • Post-secondary education in Human Resources, Business Administration, or a related field preferred.
  • 2-3 years of experience in an HR or administrative support role preferred.
  • CPHR designation, or working towards this certification, is an asset.
  • Familiarity with ADP or other HRIS system software is beneficial.
  • Strong organizational and time-management skills, with the ability to work independently and manage competing priorities.
  • Ability to maintain confidentiality and handle sensitive information with discretion is paramount.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Confidence and the ability to develop relationships with employees at all levels.
  • Ability to work efficiently and collaboratively in a fast-paced environment.
  • Detail-oriented and able to handle multiple tasks simultaneously.
  • Previous HR experience in telecommunications, construction, or a similar industry is an asset.
  • This is a 6-month term position, primarily based in our head office in Virden, MB, with some opportunity to work from home.
  • Hours of work generally fall between 8:00am to 5:00pm, Monday to Friday, with some overtime required.
