Athos in Montreal is seeking a HubSpot CRM & Marketing Operations Administrator to own the platform day-to-day, optimize processes, and drive adoption across Sales, Marketing, Customer Service, and Operations.

Reporting to the Senior Director of Digital Marketing & Innovation, you will configure, train, and support users, build dashboards, and push CRM improvements as part of our ongoing digital transformation.

Qualifications

  • 3+ years of CRM administration or business systems administration experience.
  • Experience administering HubSpot or another leading CRM platform (Salesforce, Dynamics, etc.).
  • Experience building workflows, automation, reports, dashboards, and business processes.

As part of our digital transformation journey, we are implementing HubSpot as our enterprise CRM platform. We’re looking for an experienced CRM professional who will own the platform, support our users, improve business processes, and help maximize the value of our investment.

Position Summary

The HubSpot CRM & Marketing Operations Administrator is responsible for the day-to-day administration, optimization, and continuous improvement of Athos’ HubSpot platform.

Reporting to the Senior Director, Digital Marketing & Innovation, this individual will serve as the organization’s primary HubSpot administrator and internal subject matter expert, supporting users across Sales, Marketing, Customer Service, and Operations.

This role combines CRM administration, marketing operations, workflow automation, reporting, user training, technical support, and business process improvement. The successful candidate will play a critical role in driving CRM adoption, ensuring data quality, improving operational efficiency, and enabling teams to leverage HubSpot effectively.

Key Responsibilities

CRM Administration & Platform Ownership

  • Serve as the primary administrator and owner of the HubSpot platform.
  • Configure and maintain users, permissions, teams, objects, properties, pipelines, forms, and system settings.
  • Administer Sales Hub, Marketing Hub, Service Hub, Operations Hub, and future HubSpot products as required.
  • Maintain platform documentation, governance standards, and configuration records.
  • Monitor platform performance, security, and overall health.
  • Manage feature releases, testing, and rollout of new HubSpot functionality.
  • Own the CRM enhancement backlog and prioritize improvements in collaboration with business stakeholders.
  • Manage the relationship with HubSpot Support, implementation partners, and third-party vendors.

User Training, Support & Adoption

  • Act as the primary point of contact for all HubSpot-related questions, issues, and support requests.
  • Provide timely first- and second-level support to internal users.
  • Troubleshoot and resolve CRM issues, escalating to HubSpot or external partners when appropriate.
  • Develop onboarding programs for new employees.
  • Deliver instructor-led and virtual training sessions.
  • Create and maintain training guides, knowledge articles, FAQs, and standard operating procedures.
  • Coach users on CRM best practices and effective system usage.
  • Monitor user adoption and identify opportunities to improve engagement.
  • Promote consistent CRM usage across all business units.
  • Gather user feedback and translate business requirements into system enhancements.

Marketing Operations

  • Build, test, schedule, and deploy marketing emails within HubSpot.
  • Create and maintain landing pages, forms, CTAs, email templates, and campaign assets.
  • Configure audience segmentation and smart lists.
  • Build and maintain automated nurture campaigns and customer journeys.
  • Configure lead scoring, lifecycle stages, and lead routing.
  • Perform campaign quality assurance before launch.
  • Support Marketing by executing campaigns within HubSpot while ensuring technical accuracy and operational excellence.
  • Manage email subscription preferences and support compliance with CASL and applicable privacy legislation.

Note: Marketing strategy, messaging, copywriting, creative development, SEO, and campaign planning remain the responsibility of the Digital Marketing team. This role is responsible for the technical implementation and optimization of marketing initiatives within HubSpot.

Workflow Automation & Business Process Improvement

  • Design and maintain workflows and automations that improve operational efficiency.
  • Translate business requirements into scalable HubSpot solutions.
  • Identify opportunities to eliminate manual processes through automation.
  • Recommend and implement enhancements that improve user experience and productivity.
  • Support future CRM expansion projects and digital transformation initiatives.

Reporting & Analytics

  • Build and maintain executive dashboards and operational reports.
  • Develop KPIs for Sales, Marketing, Customer Service, and leadership.
  • Monitor CRM adoption and campaign performance.
  • Provide data-driven recommendations that improve business outcomes.
  • Support forecasting, pipeline reporting, and marketing performance analysis.

Data Quality & Governance

  • Maintain high standards for CRM data quality and integrity.
  • Develop and enforce data governance policies.
  • Perform imports, exports, cleansing, deduplication, and migration activities.
  • Monitor data health and proactively resolve quality issues.
  • Ensure CRM data supports reliable reporting and operational decision-making.

Integrations & Technical Administration

  • Support integrations between HubSpot and internal business systems.
  • Coordinate with IT teams and third-party vendors.
  • Support API integrations and middleware platforms.
  • Participate in testing and deployment of new integrations.
  • Maintain technical documentation for integrations and workflows.
  • Stay current with HubSpot product releases and industry best practices.
  • Evaluate new features and recommend improvements.
  • Develop an annual CRM optimization roadmap.
  • Champion continuous improvement across the organizations

Qualifications

Required

  • 3+ years of CRM administration or business systems administration experience.
  • Experience administering HubSpot or another leading CRM platform (such as Salesforce, Microsoft Dynamics 365, Zoho CRM, or similar).
  • Demonstrated ability to quickly learn and administer new technology platforms.
  • Experience supporting end users and delivering system training.
  • Experience building workflows, automation, reports, dashboards, and business processes.
  • Experience executing email marketing campaigns within a marketing automation platform.
  • Strong analytical and troubleshooting skills.
  • Excellent organizational and project management abilities.
  • Strong communication and stakeholder management skills.
  • Customer-service mindset with a passion for helping users succeed.

Preferred

  • One or more HubSpot certifications.
  • Experience participating in a CRM implementation or migration.
  • Experience supporting marketing automation initiatives.
  • Experience with CRM integrations and APIs.
  • Knowledge of Sales Operations, Marketing Operations, or Revenue Operations.
  • Experience working with Power BI, Looker Studio, Tableau, or similar reporting platforms.
  • Experience supporting change management and technology adoption.
