Successful candidates will receive comprehensive training in CSS workflows and key industry processes to ensure they can provide effective support while learning the fundamentals of strata management. This is a dynamic, hands‑on role that requires adaptability, strong organizational skills, and a proactive approach to supporting multiple Strata Managers. The Property Coordinator will “parachute” between different high‑profile (blue‑chip) Strata Managers based on operational needs, assisting with meetings, minutes, administrative tasks, and resident inquiries under SM direction.

Responsibilities
  • Administrative & Operational Support
    • Assist Strata Managers and Regional Directors in managing administrative tasks across multiple portfolios.
    • Prepare, review, and edit documents, ensuring accuracy, consistency, and adherence to company standards.
    • Maintain records and databases, ensuring all information is current and accessible.
    • Enter and manage work orders in CSS workflows, tracking progress and reporting challenges.
  • Council Meeting & Minute‑Taking
    • Attend evening council meetings and AGMs as directed by the Regional Directors assisting with registration, document management, and accurate minute‑taking.
    • Draft, review, and finalize meeting minutes in collaboration with the assigned Strata Manager.
    • Ensure all meeting records are properly formatted and stored in accordance with internal processes.
  • Resident & Vendor Communication
    • Respond to resident inquiries through RSS at the direction of the Regional Director, ensuring clear and professional communication.
    • Notify vendors and stakeholders of management changes and portfolio updates.
    • Maintain an up‑to‑date internal directory of contacts, vendors, and key stakeholders.
  • Learning & Development
    • Actively participate in strata training, developing foundational knowledge of bylaws, governance, and compliance.
    • Gain direct exposure to strata operations by working closely with experienced Strata Managers and Regional Directors.
    • Build proficiency in CSS workflows, internal databases, and strata administration tools.
    • This role is an on‑the‑ground support position, requiring the ability to travel between different strata portfolios based on operational needs.
    • Occasional evening council meeting attendance and AGMs is required.
    • Management reserves the right to adjust responsibilities and schedules as needed to meet business objectives.
Skills & Qualifications
  • A minimum of 1 years’ experience in an administrative role requiring high volume document production is preferred.
  • Must have a Strata Manager License
  • Proven ability to adapt to different teams and work in a fast‑paced environment.
  • Comprehensive knowledge of MS Word, including document formatting
  • Familiarity with internal drive/folder structure and database management
  • Detail oriented, including sufficient knowledge of spelling and grammar to accurately proofread documents
  • Proven ability to build collaborative relationships within the organization
  • Excellent interpersonal skills, with a customer service mindset
