Role Overview:
Our Toronto office is currently recruiting for a HR Supervisor, Legal Assistants in our Human Resources Department, reporting to Director of Human Resources. The HR Supervisor, Legal Assistants is responsible for the overall management of the regional Legal Assistant resource group (which includes Legal Assistants, Document Specialists and Assistant Replacements) and leading all functional responsibilities related to this area of the business.
- The successful candidate will be responsible for:
- Understanding the legal professionals' individual support requirements and incorporating these requirements into the service level standards for their legal support.
- Acting as point of contact for support and direction regarding employee relations or sharing arrangement concerns.
- Providing coaching support for Legal Assistant resources regarding day-to-day questions and concerns; securing approval from Director of HR on recommended actions or resolution.
- Identifying and developing learning and development plans for legal assistants, individually and nationally.
- Partnering with Director of HR regarding annual compensation and bonus recommendations for Legal Assistant resources.
- Partnering with Director of HR to complete performance review cycle for Legal Assistant resources and to conduct performance review meetings.
- Building strong working relationships with lawyers, the legal support team and other stakeholders throughout the firm. Understanding the different office cultures and implementing solutions/initiatives that coincide with them while maintaining the overall goal of the solution/initiative.
- Managing vacation schedules for the legal support group.
- Preparing the daily/weekly coverage arrangements and overflow requirements by allocating legal support resources, monitoring workload/workflow of legal assistants and preparing weekly assistant resource schedules.
- Preparing weekly system access reports for legal resource support and communicating with other departments for set up.
- Engaging with Talent Acquisition Lead as hiring manager for regional Legal Assistant resource group recruitment needs.
- Developing and managing Legal Assistant mentoring program in cooperation with the other regional HR Managers.
- Co-chairing quarterly Legal Assistant resource group meetings.
- Participating in orientation of first year Associates to support understanding of Legal Assistant resources and build relationships.
- In partnership with Director of HR conducting quarterly meetings with practice group chairs.
- Maintaining awareness of best practices, trends and changes in the legal industry and developing relationships with external peers, local colleges and participating in student placement programs.
- Collecting, analyzing and reporting monthly HR statistics as it relates to legal assistant, document production and assistant replacement activities for review by Director of HR.
- Providing partnership and support to Director of HR on various HR related projects and needs nationally with a focus on legal assistant resources, as required.
- Managing budgets for regular and special programs and expenses related to area of responsibility.
The successful candidate must have the following education, experience and/or demonstrated skills:
- Minimum 3-5 years of experience in HR, focus on legal assistants an asset.
- Law firm or professional services experience is required.
- Prior experience in a legal assistant role is an asset.
- Strong communication, relationship building and conflict resolution capabilities.
- Strong leadership, coaching, facilitation and relationship management skills.
- Demonstrated good judgement and decision-making.
- Proven ability to partner with a variety of stakeholders at all levels of the organization, building credibility as a leader and subject matter expert.
- Proven ability to work with minimal supervision in a fast-paced, team-based environment within challenging deadlines.
- Able to motivate people and foster a positive work environment.
- Flexible attitude and desire to support change.
- Strong knowledge of Microsoft Office suite of products, document management and time entry billing systems.
